Integration of Zoho Mail and Freshdesk

Ok, so I’m going to start with a brief introduction of Zoho Mail and Freshdesk. Basically, Zoho is a complete software suite that has applications for web development, CRM, ERP, HRMS, etc. In other words, Zoho helps you to manage all your business operations on a single dashboard. On the other hand, Freshdesk is a customer support management top for businesses.

Zoho Mail is email hosting service by Zoho (so you can signup and use a free account. It offers users 50MB inbox space, 5GB storage space and 10 POP accounts (for sending messages. Zoho also provides users with 1GB more storage space on zakaweb.com (if they reach out to them. and unlimited number of POP accounts (can be used for sending emails from any domain.

Freshdesk is a cloud-based customer support software for businesses. It helps businesses to manage customer support tickets out of one place. The main features include:

Now let’s move on to the main part of this blog post — Integration of Zoho Mail and Freshdesk. So, basically it’s very simple to integrate these two Zoho products because they are both by Zoho. First of all, you need to create an account on zakaweb.com and then link your Freshdesk Account with this new account. Next thing you need to do is to speak to Zoho support team (by calling them or writing an email. and ask them to enable IMAP access for your new account. Once you’ve got this done, log into your Freshdesk account and go to Settings -> Ticket Settings -> Integrations -> Add An Integration. Select “Zoho Mail” from the list of available integrations and fill up the required fields. You need to provide your Zoho username and password so that Freshdesk can automatically retrieve the details about your Zoho Email account. After setting up the integration, Freshdesk will add a new section in your ticket settings page called “Zoho Mail”. From there you can configure various settings related to IMAP access like enabling/disabling attachments, notification preferences etc. You can also customize email templates for incoming and outgoing emails. So, if you want Freshdesk to send an auto reply email to customers regarding their support requests, just create a template in Zoho Mail and set it as default template in Freshdesk.

The next step is to add a post-receipt hook in Freshdesk so that whenever a customer receives an email from you, Freshdesk will check if the email address matches with those entered in its database or not. If it matches, then it will forward the email to the ticket assigned to that particular customer. On the other hand, if it doesn’t match then it will store that email in its inbox fpder and assign a new email address for that particular customer. To add a post-receipt hook, go to Settings -> Ticket Settings -> Post Receipt Hooks -> Add / Edit Post Receipt Hooks. Here you can specify various conditions like “is_ticket_assigned_to_me = 0” or “is_ticket_assigned_to_me = 1” etc. So, whenever a customer receives an email from you, Freshdesk will check if that customer has a ticket assigned to him or not. If yes, then it will forward the email to that ticket otherwise it will store that email in its inbox fpder with a newly assigned email address for that customer. This way you can easily track each customer’s incoming emails for each individual ticket. In addition, if your company uses Google Apps for Business, then you can use G Suite Gmail Forwarder plugin to synchronize Gmail contacts with Freshdesk and avoid manually adding contacts in Freshdesk database. By default, Freshdesk shows the last four digits of the phone numbers in its database however, if you want your customers to see entire phone numbers (including area code. while creating new tickets then you can use ExactTarget PDQ Connector plugin which will help you achieve this task with the help of accurate phone number data available at ExactTarget Marketing Cloud®. A few more things you can do with this integration are forwarding specific tickets created by your sales department to your support team and auto-notifying your support staff about incoming tickets via SMS or Email etc., all thanks to the power of Zoho Mail!
