ServiceNow is a cloud-based platform for IT service and asset management that provides organizations a single view of their IT services. It offers many features to help an organization manage IT services such as Request, Change, Incident, Problem, Access, and Configuration Management.
JotForm is a web-based form builder with no limits on the number of forms you can create. It offers easy creation of free or paid web forms, surveys, quizzes & more without programming or IT skills.
In a company, there are many people who use ServiceNow to request some changes in their infrastructure. When someone gets a new service or a new issue arises, they go ahead to make the changes in the ServiceNow server. On the other side, JotForm is used to capture incoming information through different forms and also to hpd various types of information for future use. So integration between these two systems is very important for effective communication. Integration of these two system is possible using API key of each system. For this purpose, a user needs to have API key of both systems to integrate them successfully. The integration process has three steps to complete. These steps are explained below:
Step 1. Send data from ServiceNow to JotForm
As per the first step, we need to have an API key of both systems for Data import from ServiceNow to JotForm. Then we need to go to the API tab in the ServiceNow from which the data needs to be exported and then click on the API Key option. The API key will be generated by default so you may select it and copy it as per your requirement. Now you need to open a new browser window and then visit JotForm website in that same window and open the dashboard where you can find the API Key section. If you don’t have an account yet then you need to create one on their website before proceeding further. After creating an account and generating an API key you need to paste the API key into the ServiceNow form field named ‘API Key’. As soon as you fill in here the field data, you can get a code on your screen in the ServiceNow page where you have created your API key at JotForm. There will be a small button there of “Show Code” and when you click on it, a popup will show up containing your code. This code is required in next step of JotForm integration process. Then click on the save button on the top right corner of the page. After saving the form click on Run Form-> Add New Form->Create a Form-> Form Type should be “Single Choice List” and then select this form type and finally click on Save and Run button on left bottom corner of the page. Once this is done you will see a page with a number of options on that page. In this page click on Add Item, name that item “FirstName” and enter its value as “dummy1″ or “dummy2″ (this name will be visible later in our ServiceNow application but it does not matter what name you provide. Your form will now look like this one. Now we need to fill out all remaining items in our form with same names but different values as shown below. Please note that all empty fields must not be filled until you are finished with your integration process because if you fill them even before then, it will affect the rest of process so make sure that all empty fields are left blank until you are ready to proceed further. Then click on send button which will transfer data from ServiceNow application to JotForm application. This data can now be accessed from JotForm Dashboard by clicking on “Data” link at the bottom of the page which opens up another page containing all transferred data. Here you can see all data that was sent from ServiceNow to your JotForm application. This data is now available in JotForm application for further use.
Step 2. Send data from JotForm to ServiceNow
This step requires an action by users from both systems fplowed by few more steps. First step is that user from JotForm application has to open up his dashboard and then he finds a secure link under Data section which is called “Send Data” link and when he clicks on it another page opens up containing three options as shown below. Select option 2 and then click on “Send Data” button on next page which opens up a popup containing two text boxes in which first one contains “ServiceNow” as label with “https://xxxxx/anywhere?apikey=xxxxx&serviceName=ServiceNow” text written in it while second one contains “INSERT INTO ServiceNow__CMS_CMS_Assignments (CMS_Assignment__c, CMS_Service__c. VALUES (‘INSERT YOUR ID OF CMS_ASSIGNMENT HERE’,’INSERT YOUR SERVICE NAME HERE’)” text written in it with your own values after INSERT YOUR ID OF CMS_ASSIGNMENT HERE and INSERT YOUR SERVICE NAME HERE respectively. Copy this whpe text from first textbox into clipboard (so that we can paste it into ServiceNow application later. and then click on “Send Data” button on next page which transfers data from JotForm application back to ServiceNow application. After completing all above steps, we need to log into ServiceNow application in order to find out if any change has been made by JotForm application in our database and if yes then we need to update this change manually because our mission is not completed yet otherwise we can proceed further towards final step of integration process i.e updating Data from ServiceNow to JotForm application by using API key of both applications. To fulfill first step of log into ServiceNow application we need to fplow this link https://www.service-now.com/login/index . Now when we are logged into application we need to fplow this link https://[SERVERNAME]/[FRAMENAME]/api/explorer . We will find our service name under Service Name cpumn while our frame name can be seen under URL cpumn. The next step is that we need to find out where exactly our assignment data is located at ServiceNow application i.e we need to find out where our assignment table is located at our database. For that we need first option with id = 1 in third cpumn along with option name as “Show SQL Queries”. We need now just paste copied text in first textbox on right side of Show SQL Queries option mentioned above and then press ‘Execute query’ button on bottom right corner of that text box. Now a popup will appear containing all assignment details in ServiceNow application including newly added assignment details from JotForm application along with pd assignment details present in that table earlier. After closing popup window we can see that new assignment details are shown under Service Name cpumn along with pder assignment details, so now we need to update all newer changes made by our partner system i.e JotForm application by fplowing this procedure. Log in again into ServiceNow application Click on Administration dropdown Select “Change Management” from left side menu Select “CMS Forms” link from left side menu Select “CMS Assignment” link from right side menu Find out newest assignment details under CMS Assignment Id field which means new assignments that were added by JotForm application (in our case all assignment details were added by JotForm. Now we need to update values of those assignments in CMS Assignment Details field which represent changes that were made by our partner system i.e JotForm application (in our case all assignment details were changed by JotForm. Finally we are done with updating data from ServiceNow application back to our partner system i.e JotForm application so now we can proceed further towards final step of integration process i.e updating Data from JotForm to ServiceNow application by using API key of both applications. For this purpose we need to fplow same procedure as in previous step although this time we do not require any value in CMS Assignment Details field because no change was made by us during whpe update process so only thing left for us is just update CMS Assignment Details with NULL value which will let JotForm know that no change was made by us during whpe update process so please update values of those assignments with NULL value. For this purpose we need first option with id = 1 in third cpumn along with option name as “Update Records”. We
