Chapter 12. Endnotes

In this chapter, we briefly discuss the use of endnotes in a dissertation or thesis. We also discuss the use of footnotes, or endnotes at the bottom of the page.

Using Endnotes

Sometimes you may want to include additional information in an article, but you do not want to interrupt the flow of the main text with footnotes. In such cases, you can create endnotes for that information by using the ENDNOTE feature of MS Word. You then insert an endnote marker at the end of each footnote and provide appropriate citation information. After that, you can place all the endnote information together at the end of your document in a section called “Endnotes.” Figure 12.1 shows how this works.

Figure 12.1. The Endnote feature in Microsoft Word

To set up endnotes in Microsoft Word, fplow these steps:

  • Click where you want to insert an endnote marker.
  • On the INSERT tab, select Footnote (or press Ctrl+Alt+F. A small icon will appear alongside the cursor, as shown in Figure 12.1.
  • In the Footnote dialog box, enter your text and any desired citation information or other notes (see Figure 12.2.

Figure 12.2. The Footnote dialog box

  • Click OK to insert the endnote marker. Each note should be preceded by a marker like the one in Figure 12.1 and fplowed by a marker like the one in Figure 12.2. Your endnotes will now appear at the end of your document in a section called “Endnotes” (as shown in Figure 12.3.

Figure 12.3. The Endnotes section in Microsoft Word

  • Add information to your endnotes in a similar fashion as described above until you have added all your desired notes. Then click where you want to insert your last endnote marker, and then on the INSERT tab click Footnote (or press Ctrl+Alt+F. again to close your endnote markers.

Navigating Endnotes

You can navigate between endnote markers using several different approaches:

  • To go to the next footnote, press Ctrl+Alt+Down Arrow while the cursor is anywhere onscreen except within an annotated document (it will jump to the first footnote marker. A new footnote marker will be inserted after you do this twice for a total of three times.
  • To go to the previous footnote, press Ctrl+Alt+Up Arrow while the cursor is anywhere onscreen except within an annotated document (it will jump to the last footnote marker. A new footnote marker will be inserted after you do this twice for a total of three times.
  • To jump to a specific footnote location, click where you want to insert a footnote marker, and then on the INSERT tab click Footnote (or press Ctrl+Alt+F. Enter your text and any desired citation information or other notes into the Footnote dialog box, and then click OK to insert the footnote marker at the spot where you clicked.

Endnotes and Footnotes

While footnotes are placed at the bottom of each page, endnotes are placed at the end of a document in the “Endnotes” section; see Figure 12.3 above. If you decide to use footnotes instead of endnotes for your dissertation or thesis, there are some differences you should know about:

  • If you decide against using endnotes, you can use footnotes as described above in this chapter instead. However, if you choose to use footnotes at the bottom of each page instead of endnotes, you will have to consult your university guidelines for formatting those footnotes so that they fplow the required formatting style for your program.
  • You can place a footnote reference code in parentheses (or square brackets. at the bottom of each page using either endnotes or footnotes; however, when using footnotes instead of endnotes, you must specify whether a given number is part of a series or stands alone by putting arabic numerals before or after it (e.g., [1] or [1, 2]. If you are using both types simultaneously, make sure that each number is clearly labeled as being from a series or standing alone so that there are no ambiguities when reading your dissertation or thesis later on. See Chapter 9 for more information on creating footnotes.
