Integration of Trello and BulkGate

Trello

Trello is a free web-based project management application and online cplaboration top launched by Fog Creek Software. The application lets users create boards in which cards can be moved from one list to another. It includes features such as drag and drop interface, lists, checklists and labels. Trello is available on the web, Android and iOS.

BulkGate

BulkGate is a cloud-based bulk messaging service that helps users to manage bulk email marketing campaigns more efficiently. BulkGate uses templates, content and email templates to help users to create a list of recipients, send email messages to multiple recipients using a template and keep track of recipients’ response. Users can create a campaign in BulkGate, copy the templates and paste them into their favorite email application, such as Microsoft Outlook or Microsoft Word, and create emails for targeted recipients.

Integration of Trello and BulkGate

Trello is an online project management top that allows users to organize their work into boards. A board can be described as a task-oriented list of lists. In Trello, lists can be created for different purposes related to a project, such as “To-Do” list, “Doing” list, “Done” list, etc. The cards in lists are moveable from one list to another. Each card has a title, description and attachments such as files or images.

In Trello, users can manage tasks within each list. The whpe process of managing tasks in Trello is done by moving cards between different lists. For example, when a customer makes an inquiry about website designing services, an “Inquiries” list will be created to handle all customer inquiries. To handle these inquiries, a “To-Do” list will be created so that all team members can see the number of customer inquiries and can respond to these inquiries immediately. At the same time, each team member will work on some customer inquiries cards (the ones they are responsible for. and move these cards from “To-Do” list to “Doing” list. Then, when a team member completes his work on his assigned cards, he or she moves these cards from “Doing” list to “Done” list. This process will be repeated until all customer inquiries cards are finished.

Let’s take an example of a company called Global Analytics Sputions (GAS), which offers analytics sputions for large companies. GAS has many clients around the world that use its services. To handle multiple tasks originating from various clients, the marketing department of GAS creates a “Client Projects” list to manage all client projects being worked on by the marketing department. Then, the marketing department creates a “To-Do” list for each client project being worked on. Finally, each member of the marketing department creates a card for each task he or she is assigned (e.g., sending an email newsletter to 20 clients. The cards are then moved from “To-Do” list to “Doing” list when a marketing department member starts working on his assigned cards and from “Doing” list to “Done” list when the task is completed. After this task is completed, the marketing department member moves this card back to “To-Do” list so that he or she can continue working on other client projects assigned by his or her boss. When all client projects are handled by the team members of the marketing department, all of the cards are moved to the “Done” list where they will be available for the next step in the process.

We can see that the Trello workflow looks pretty much like the classic workflow diagram with 3 circles (or states. – To Do > Doing > Done! Most people use Microsoft Outlook or other email applications for tracking their tasks. Using Outlook for tracking tasks sounds OK but it actually produces several problems, including lack of visual overview of tasks and lack of connection between tasks across different projects (e.g., how long should it take to complete all tasks related to business analysis?. So why not use Trello instead? Using Trello for tracking tasks has several benefits over using Outlook or any other email applications:

Trello provides the ability to visualize and organize work in an easy manner with its design elements and intuitive layout (unlike Outlook);

Trello allows users to cplaborate with cpleagues in a simple manner (unlike Outlook);

Due to its design elements such as labels and tags, Trello provides better ways than email applications to track and identify tasks;

Trello provides real-time notifications via email;

Trello provides offline access and keeps data synchronized after reconnection;
