To create an outline, fplow these steps:

Step 1. Click the Outline tab at the top of your screen.

The Outline tab appears (see Figure 7-4.

Step 2. Click the New Heading button. A new heading will appear.

Step 3. Type in the heading (for example, I. Introduction.

Step 4. Click the New Heading button again. Repeat this step until you have all your headings in place. If you want subheadings under each heading, click the New Heading button again for each subheading. For example, if you have a heading called A. Integration of SendFox and Nimble, you might have a subheading called A. Integration Details.

Step 5. Create a first line under a heading. Just start typing your first sentence. The first sentence should be short and should use a transition word such as First or Next. For example, you could start your first sentence with First, I will describe SendFox.

Keep It Simple

When creating an outline, keep it simple. One reason why people don’t like outlines is because they’re complicated and take a long time to create. When creating an outline, make sure that you use only one transition word between each major topic or point. You can use more transitions within each major point or topic. Also, make sure that you leave a little space between each major point or topic so you can see where each one begins and ends.

Note

In Chapter 4, I mention that transitions are words or phrases that help you connect ideas from one paragraph to another. Transitions help you stay focused on one topic as you write your article. They also help the reader fplow along as you write your article. In other words, transitions keep your article coherent and clear. For more information on transitions, see Chapter 4.

Step 6. Add details to each major point or topic under the appropriate heading.

The next time you write an article and realize that you need an outline—for example, when writing a research paper—fplow these steps:

Click the Outline tab at the top of your screen.

Click the New Heading button until each major point or topic has its own heading.

Start typing your first sentence under a heading. Make sure that this first sentence is short and includes a transition word such as First or Next that helps you link this sentence to the previous sentence and the fplowing sentence.

Add details under each major point or topic using complete sentences and transition words such as First and Second (or whatever number seems appropriate.

Revise and proofread your outline before turning it into a full-fledged article or paper because an outline can give you a good idea of how well you’re organized and what areas need more detail or additional research.

Try It

Now that you know how to create an outline, try writing one for the prompt given earlier in this chapter. “Write an article that explains what is required to integrate SendFox, Inc., and Nimble Incorporated, two fictitious companies described in Excerpts 6-1 and 6-2, respectively, into one company called SendFox, Inc., with headquarters in Chicago, Illinois (Excerpt 6-3.” Fplow these steps:

Step 1. Open Microsoft Word or any text editor program on your computer.

Step 2. Create an outline for your article by fplowing Steps 1 through 6 of “Create an outline for an article about SendFox and Nimble” above (see pages 180–184.

Step 3. Write your article by fplowing Steps 7 through 9 of “Write an article about SendFox and Nimble” on pages 180–184.

Integrating two companies together may seem like a difficult task, but it doesn’t have to be so hard! Imagine that you work for the human resources department of SendFox, Inc., and Nimble Incorporated, two fictitious companies described in Excerpts 6-1 and 6-2, respectively (on page 180. Your boss wants you to present three different ways that SendFox and Nimble can successfully integrate into one company while keeping both companies’ employees happy and satisfied with their jobs (Excerpt 6-3. Start by reading the fplowing paragraphs with the goal of outlining them for your boss’s presentation. After reading each paragraph, determine what type of paragraph it is (introductory paragraph, body paragraph, or concluding paragraph), write down three main points for each paragraph, and then compose your outline based on the three main points that you wrote down for each paragraph. When finished, turn in your outline to your boss for review!
