    • Users can import contacts from Outlook into QuickBooks Online as a customer or vendor for each contact in case the users are using both Microsoft Outlook and QuickBooks Online at the same time. Contacts can be imported from the address book in Outlook to QuickBooks Online via Web Connector or OAuth 2.0. The steps to import contacts from Outlook to QuickBooks Online are as fplows:

  • In QuickBooks Online, choose “Contacts” in the left navigation menu.
  • In the center of the page, a list of contacts will display on your screen. Click on “Import Contacts” on the right side of the page. This will take you to the next step.
  • A pop-up window will display on your screen, asking if you want to import contacts from Outlook or create new ones in QuickBooks Online. Click on “Import from Outlook”.
  • Another pop-up window displays on the screen, confirming that you want to import contacts from Outlook. Click on “OK” to confirm. A dialog box will display on your screen, asking you to enter your username and password for Outlook. Enter your credentials and click on “Login”. A confirmation message will display on your screen, displaying that your contacts have been imported successfully into QuickBooks Online. Click on “Close” to close the confirmation message.
    • Users can also use Web Connector to import contacts from Outlook into QuickBooks Online. The steps to import contacts from Outlook to QuickBooks Online using Web Connector are as fplows:

  • In QuickBooks Online, choose “Contacts” in the left navigation menu.
  • In the center of the page, a list of contacts will display on your screen. Click on “Web Connector” on the right side of the page. This will take you to the next step. You will be asked to log into Web Connector with your company name and password. Input your credentials and click on “Log in”. Click on “Sign Up Now” if you do not already have an account. Fplow the instructions on the Web Connector site for creating an account and inputting your information so that you can access Web Connector. Choose whether you want to import from Microsoft Outlook or create new contacts in QuickBooks Online. Choose “Outlook” if you want to import existing contacts in Outlook into QuickBooks Online or choose “New Contact” if you want to create new contacts in QuickBooks Online. Click on “Continue” once you have chosen which option you want to use for importing contacts into QuickBooks Online. Click on “Next” in the Web Connector site if you have already created an account or fplow the instructions to create an account for your company if you have not already done so. Choose whether you want to import existing contacts or create new contacts using Web Connector. Choose “Existing Contacts” if you want to import existing contacts from Outlook into QuickBooks Online or choose “Create New Contacts” if you want to create new contacts in QuickBooks Online using Web Connector. Click on “Next” in Web Connector after choosing which option you want to use for importing contacts into QuickBooks Online. Choose whether you want to export from Microsoft Outlook or import into QuickBooks Online. Choose “Export from Microsoft Outlook” if you want to export existing contacts from Outlook into a file and import them into QuickBooks Online later or choose “Import From File” if you want to import a file that contains contact information from another program into QuickBooks Online at this time. Click on “Next” in the Web Connector site after choosing which option you want to use for importing contacts into QuickBooks Online and deciding whether you want to export from Outlook or import into QuickBooks Online. Choose whether you want to export all contacts in one step or one at a time and export them into a file that will be saved on your computer hard drive. Choose “Export All Contacts at One Time” if you want to export all of your contacts at once and save them in one file per contact or choose “Export One Contact at a Time” if you want to export one contact at a time and save them in separate files for each contact that is exported using Web Connector (this will take longer. Click on “Next” after choosing which option you want to use for exporting contacts from Outlook into a file or saving them directly in QuickBooks Online depending on which option you chose earlier in this step (depending upon whether you choose one contact at a time or all of them at once. Click on “Finish Importing Your Contacts” when you are ready for Web Connector to export all of your contacts from Microsoft Outlook into files that are saved on your computer hard drive or to import all of your exported files into QuickBooks Online at once if you chose one contact at a time earlier in this step. An alert displays, reminding users that they must verify their company name before exporting their contacts from Outlook or importing them into QuickBooks Online using Web Connector (depending upon which option was chosen above. Choose whether you want Web Connector to verify your company name automatically or manually before exporting your contacts from Outlook or importing them into QuickBooks Online using Web Connector (depending upon which option was chosen above. Automatically Verify My Company Name - If this is chosen, Web Connector will automatically verify your company name with Intuit before exporting your contacts from Outlook or importing them into QuickBooks Online using Web Connector (depending upon which option was chosen above. Manually Verify My Company Name - If this is chosen, Web Connector will allow users to choose their own company name and then verify it manually with Intuit before exporting their contacts from Outlook or importing them into QuickBooks Online using Web Connector (depending upon which option was chosen above. Click on “Finish Importing Your Contacts” when finished verifying your company name with Intuit using either method described above depending upon whether the automatic verification was chosen or verified manually with Intuit by choosing "Manually Verify My Company Name" earlier in this step before clicking on "Finish Importing Your Contacts". A confirmation message displays when all of your contacts have been exported from Microsoft Outlook into files that are saved on your computer hard drive and/or imported into QuickBooks Online using Web Connector successfully depending upon which option was chosen earlier in this step (depending upon whether automatic verification was chosen or verified manually with Intuit by choosing "Manually Verify My Company Name" earlier in this step before clicking on "Finish Importing Your Contacts". Click on "Close" when finished reading this confirmation message which alerts users when they can close out of the confirmation message once all of their contacts have been exported from Outlook and/or imported into QuickBooks Online successfully after fplowing through with each step outlined above depending upon which option was chosen earlier in this step (depending upon whether automatic verification was chosen or verified manually with Intuit by choosing "Manually Verify My Company Name" earlier in this step before clicking on "Finish Importing Your Contacts". After clicking on "Close", open an existing company file if one exists for importing the exported files created earlier by exporting your contacts from Outlook using Web Connector (depending upon which option was chosen earlier in this step. or open a new company file if one does not exist for creating new addresses for all of your imported contacts that were just imported into QuickBooks Online using Web Connector (depending upon which option was chosen earlier in this step. Either way, select the type of address that each contact has including Personal, Home Business, Work Business, Other Business, Schop, etc., and enter their information including Street Address, City, State, Zip Code, Phone Number, etc., for each individual contact that was imported from Microsoft Outlook into QuickBooks Online using Web Connector (depending upon which option was chosen earlier in this step. Click on "Save & Close" when all necessary information has been entered for each contact imported from Microsoft Outlook into QuickBooks Online
