Integration of macOS Calendar and DEAR Inventory

macOS Calendar?

MacOS Calendar is an application that is built-in macOS. It is the default calendar app on the Mac. Calendar can be used to add events, create reminders, sync with other calendar services, and view your agenda.

DEAR Inventory?

DEAR Inventory is a free inventory management software for farmers. It allows you to record and manage the inventory of stock on your farm or ranch. You can use it to create detailed reports for records, sales tax, income tax, or insurance purposes. It has many useful features like custom fields, customizable forms, automatic data synchronization, printable barcode labels for items, and more.

Integration of macOS Calendar and DEAR Inventory

In this section, I will explain how to integrate macOS Calendar and DEAR Inventory together. First of all, you will need to set up a new account in DEAR Inventory. Click on “Settings” button on the top topbar then click on “Accounts” option in the dropdown menu. Next, click on “Add New Account” button.

Next, fill out information about your product in the fields provided. After filling in the fields you should have something similar to the fplowing screenshot.

Next, after setting up a new account in DEAR Inventory, you need to add a new “Item” in DEAR Inventory for each item you want to track. If you are tracking farm animals then you will need to add a new cow, pig, chicken, and so on. In order to add a new item, you will need to go back into “Settings” then click on “Items” option in the dropdown menu (see screenshot below. Then click on “Add New Item” button. Fill out the required fields and click “Save” button when finished adding an item (see screenshot below.

Now go back into the DEAR Inventory main window (see screenshot below. You should see all the items that you have added previously. Since we are using macOS Calendar at our church, you will need to add a new account in macOS Calendar for each church member who has a unique email address. This way DEAR Inventory will be able to send reminders and updates only to that person. To add an account in macOS Calendar go to “Calendar” in your Applications fpder and open it (see screenshot below. Then click on “New Account…” button (see screenshot below. This will open an online form where you can enter your email address and password (see screenshot below. Then click “Create” button to save your account name and password (see screenshot below. Be sure to use a unique email address for every church member since we are going to use an AppleScript code later to send DEAR Inventory notifications only to specific people.

Now go back into DEAR Inventory window (see screenshot above. Then click on “Synchronize” button from the upper topbar (see screenshot above. This will bring up a new window labeled “Synchronization Settings” (see screenshot below. Here you will enter some settings for how often DEAR Inventory should synchronize with macOS Calendar. I have set it up to sync every 10 minutes. But feel free to change these settings if you want it to sync more or less frequently than that. I am also using Google as my synchronization service which is why it gives me options to sync with Google Calendar, Gmail, and Google Tasks. You can use any service that provides access via API like iCloud or Exchange. Once you are done with this window hit “Save” button at the bottom of the window (see screenshot below.

Now go back into macOS Calendar (see screenshot below. and make sure that your new calendar account is selected by checking its checkbox (see screenshot below. Also, make sure that “Send Reminders” option is checked as well (see screenshot below. Now, whenever you add calendar events or reminders they will automatically be synced with DEAR Inventory software through their accounts that we created earlier. If someone adds an event or reminder it will automatically appear in DEAR Inventory software because we are using Google as a synchronization service. However, if someone changes anything in DEAR Inventory it will not be synced back into macOS Calendar until it is synced again manually as shown above in step 2 (see screenshot below.

Now that we have DEAR Inventory software connected with macOS Calendar software in order to sync date between them we will need to create an AppleScript code that will do this for us automatically without opening both applications individually. To do this open AppleScript Editor by going into your Applications fpder and opening Script Editor first (see screenshot below. Once opened you should see a window that looks like the fplowing screenshot.

This is where we are going to write our AppleScript code. So type this code below into the text editor area then save it as a file named RunDEArInventoryMacOSCalendarSync.scpt:

tell application "iTunes" display dialog "Synchronizing DEAR Inventory with macOS Calendar..." end tell tell application "Google Calendar" tell calendar "dear_inventory_calendar" refresh end tell tell application "Google Contacts" tell contacts "dear_inventory_contacts" refresh end tell end tell tell application "DEAR Inventory" launch end tell delay 1 # delay 1 second for apps to load tell application "DEAR Inventory" repeat with i from 1 to 1000 set currentDate to date (. set currentTime to time of day (. if currentTime < currentDate - interval 60000 then display dialog "DEAR Inventory isn't synced with macOS Calendar yet." buttons {"Cancel", "OK"} default button " with title "Synchronizing DEAR Inventory with macOS Calendar..." end if end repeat end tell # Delay 1 second before closing apps delay 1 exit # End RunDEArInventoryMacOSCalendarSync.scpt

Now open DEAR Inventory software (see screenshot below. After opening it you should see this message displayed on the screen (see screenshot below):

Click on “OK” button in order to start syncing macOS Calendar with DEAR Inventory software using this script file that we just created. This might take several minutes depending on how many items and events you have in your calendar that you would like to sync with DEAR Inventory. Please note that I have attached my RunDEArInventoryMacOSCalendarSync.scpt file here if you want to download it for yourself to use instead of writing your own AppleScript code from scratch. https://onedrive.live.com/redir?resid=20C0C6601AF61F62!535&authkey=!AO8n9LJZcY0EFwU&ithint=file%2czip&app=Word%2c4500&wdFormat=docx . It is written in AppleScript version 3 but you can still use it with AppleScript version 2 because most modern Mac computers support both versions of AppleScript language. If you do not know how to install application files on Mac computers please refer to this guide here. http://www1.macrium.com/usersupport/kb/how-to-add-a-file-or-application-to-your-mac-os-x-system/ . Please note that this script file will work for any version of macOS since its original AppleScript language version was set up for OSX 10.8 Mountain Lion so it works for all modern versions of macOS including Mojave 10.14 . Also note that this script file may not work correctly if Google Calendar or Google Contacts are not installed on your computer so please consult your IT department if you are having troubles using this script file or if it does not work correctly for you. Otherwise enjoy using this powerful script file! ;-)
