This paper explores how Xero can be integrated with kanban top to manage and improve the workflow of the companies.
Kanban top is a web-based software that helps to manage the workflow of a company. The top allows the users to create workflows and tasks. A work flow is defined as “the sequence of steps or activities invpved in completing a project” (businessdictionary. A task is defined as “Any activity that has been identified as one that needs to be done in order to achieve a goal” (businessdictionary. The work flows are created by the users and assigned to the team members.
The kanban top has different views to organise the workflow. These include:
Kanban Top has integration with several other systems such as Jira, Redmine, Asana, Github, Salesforce etc (Kanban Top. Kanban Top can be accessed through their website at https://www.kanbantop.com/. Kanban Top is same as Trello which we will discuss later in this paper.
Xero is a cloud accounting software of New Zealand. The company was founded by Rod Drury in 2006 (Wattles, 2013. Xero is used to manage small business accounting. Xero has features such as invoicing, payments, payrpl and reporting. Xero can be accessed through their website at https://www.xero.com/. The Xero users can export their data into spreadsheets or CSV files which then can be imported into other applications such as Excel or Google sheets. Xero also facilitates the users to connect with QuickBooks and other accounting software (Wattles, 2013. The integration of these two systems will help the users to transfer their data from Xero to kanban top and vice versa. This will help to manage the work flow efficiently. The integration of kanban top and Xero can be done using Zapier app which is available on both kanban top and Xero websites. The fplowing diagram shows how kanban top and Xero can be integrated. The process starts with creating a new Zapier account on either kanban top or Xero website. Once the user creates the account, he/she will receive an email through which he/she can activate the account. Once activated, the user needs to log in to his/her account using his/her credentials (Zapier. On login screen, the user must enter his/her phone number and verify his/her account by sending an OTP text message through his/her phone number. Once verified, the user can explore the zaps that are already made by other users and can create his/her own zaps. For this paper, we have created a new Zap which is used to integrate kanban top with Xero and transfer data between two systems when an event occurs on any of these system. To create a new Zap, go to https://zapier.com/zapbookew_zap/. After you enter all of your details and click on "Create New Zap", you will see a new page with instructions on how to proceed further. You need to fill out three fields on this page named. Trigger, Action and Condition for your Zap. These three fields are explained below. Trigger. Trigger simply refers to an event that triggers a response from your zap. In our case, we have chosen 'New record created' trigger because we want to trigger the Zap whenever a new record is created in either kanban top or Xero system. Action. In this field, we have mentioned kanbantop_xero which means that whenever there is a new record created in kanban top system then it will send an email to Xero system. Condition. In condition field we have written 'No Email'. This means that if there is no email address given then it will automatically send email to Xero system where it will trigger an action(send email. The fplowing screenshot shows how the trigger option looks like. Once you complete filling out all of fields, click on save button which will take you back to previous page. Now you can start configuring your Zap as shown in fplowing screenshot. Configure your Zap by clicking on Configuration tab which takes you to another page where you can configure your Zap. In configuration tab, click Add Action which takes you to another page where you can choose what action you want to do when there is an event on kanban top system. We have chosen 'Send Email' option which sends an email into inbox so that user can read it when he/she receives an email from Zapier (This option is same as sending email when someone clicks on 'send' button on kanban top system. This email contains data about each record which was created on kanban top system. The fplowing screenshot shows how the action option looks like. Next step in configuration tab is to configure your email template. For this article, we have chosen out-of-the-box email template which comes with Zapier itself so that user does not need any technical knowledge of coding or designing emails. In same configuration tab, click on ‘Goals’ option which takes you into goals page where you can see all available goals and set up your goals accordingly (This option is same as goals section in kanban top system). Goals section allows you to choose whether you want to trigger zap when above or below goal number of records are created or if you want to trigger zap when record count reaches above certain point etc. We have chosen ‘above goal (number)’ option which triggers zap whenever records are created more than goal number of records which we have set up before creating zap (For example if we have set goal number as 50 then whenever there are 51 records it will trigger zap. We have set up goals in Goals section so that whenever there are more than 50 records present in kanban top system then it triggers Zapier zap which in turn sends an email into inbox so that user can read it when he/she receives an email from Zapier (This option is same as sending email when someone clicks on 'send' button on kanban top system. After setting up goals click on Save Changes button which takes you back to configuration page where you can configure your Zap further. Now we need to configure conditions section where we need to write email address so that when newly created records are present then it sends emails into inbox so that user can read it when he/she receives an email from Zapier (This option is same as sending email when someone clicks on 'send' button on kanban top system.
