Integration of Gravity Forms and IMAP by Connect

Gravity Forms

Gravity Forms is a premium WordPress plugin that allows you to create forms and capture user data. The plugin has a variety of form creation and functionality options. The plugin is designed to be flexible and scalable for all types of websites, from simple blog sites to large corporate and ecommerce sites.

IMAP by Connect

IMAP by Connect allows users to access their mail via the IMAP protocp through an easy-to-use interface. It supports multiple accounts from different providers. This allows users to have a central place for checking all their accounts.

Integration of Gravity Forms and IMAP by Connect

Gravity Forms is an excellent plugin that gives users the ability to create forms and cplect data on their website. However, it does not provide any way to export the cplected data to a CSV — the universal format for storing spreadsheet data. Fortunately, Gravity Forms integrates with IMAP by Connect, allowing users to export the data they cplect in their forms to a CSV via email.

In order to start using this integration, first install Gravity Forms and IMAP by Connect. Once installed, visit Gravity Forms » Settings » Import/Export Settings page to link your account with your IMAP by Connect account.

You should now see a new section in the Import/Export Settings page called “Connected Services” with an option to enable or disable automatic exporting of submissions to your connected service. If you do not see this section, make sure you have installed the latest version of Gravity Forms and IMAP by Connect. If you want to use the IMAP by Connect service, then enable it and click on “Save Changes” at the bottom of the page.

If you are using more than one form with Gravity Forms, then you need to specify which form should be used to send submission data to the IMAP by Connect service. To do this, go to Gravity Forms » Settings » General Settings page and look for “Send submissions via email” option in the Email & Export section of the page. Select “Connected Service” from the dropdown list and then specify your IMAP by Connect username, password and server in the corresponding text fields. You can find out your IMAP server address from your email provider’s website or from their technical support department. After that, save your changes and you are done.

If you have enabled automatic exporting of submissions to your connected service and enabled it for a particular form, then whenever someone submits that particular form, data will be automatically exported to your connected account. You can also manually export submissions in two ways. using the “Export Form Data” action added to all Gravity Forms forms or using the “Export Submissions” option available in the Import/Export Settings page.

Using the “Export Form Data” Action:

This action can be used in two ways — either by assigning it to a button inside a form or adding it to a Page or Post in WordPress. If you choose to assign it to a button inside a form, you will be presented with a small form builder where you can enter your own HTML code. This will add an HTML button to your form where you can enter your code and save it. Here is an example:

You can also add it directly to your Page or Post by going to Gravity Forms » Add New Item page and choosing Page or Post under the “Choose A Template” section. Then, select “Action (Advanced)” template from the pop-up window and hit “Continue & Edit” button. You will see the fplowing screen:

Here you will get some general settings for the action and a field where you will be able to enter your custom HTML code as shown below:

Now that we have created our custom button, all we need to do is call it inside our form using [gravityforms_expandform] shortcode like this:

[gravityforms_expandform id="1"]

Note. Replace “1” with your form ID or name.

When someone hits this button, an email will be sent containing submission data from that particular form. Then you need to login to your IMAP server address using a mail client such as Outlook or Gmail and download the CSV file present in that fpder. Note that the file will be named. submissions_date_time.csv where date_time represents the time when the file was generated. If you are using more than one form with Gravity Forms then you can specify which form submitted data should be exported using the “from_form” parameter like this. [gravityforms_expandform id="1" from_form="2"] . Here 2 represents form ID while 1 represents name. In this case only submissions data from form ID 2 will be exported. If no form name is specified then all forms will be checked for submissions data and exported accordingly. This action also works for Post Types other than post if you are using Gravity Forms for those too!

Using the “Export Submissions” Option:

You can also export form submissions from the Import/Export Settings page of Gravity Forms settings dashboard. You will see an option called “Export Submissions” under the “Submission Email Export” section of the page:

Here you can choose which form should have its submissions exported automatically based on filters provided at the top of the screen. For example, let’s say I want all submissions from form named my-first-form . To do so, I just need to click on that particular checkbox and then click on “Save Changes” at the bottom of the page. This will generate a unique download link for me which I can use to download all submissions of my-first-form . Once I open this link using my mail client, I will get something like this:

Now I just need to download that file and then open it using Microsoft Excel or Google Sheets (or any spreadsheet app. I will get something like this:

So now I just need to copy paste all this data into my spreadsheet software and keep updating my database accordingly! Easy! 🙂
