Integration of Webex Meetings and Wealthbox CRM

Cisco® Webex Meetings

Cisco® Webex Meetings is a top to conduct web-based meetings for cplaboration, presentation sharing, and instant messaging. The product has been developed by Cisco Systems, Inc. since 1999. It is used by the customers who are concerned about enabling employees to cplaborate with each other through video, voice, and instant messaging features. It allows the users to share content to any number of meeting participants. For example, users can cplaborate on Microsoft® PowerPoint presentations, share application data, or use the whiteboard feature for brainstorming sessions. Users can also distribute files to other participants or respond to instant messaging messages within the meeting interface.

Wealthbox CRM

Wealthbox CRM is an Enterprise Resource Planning (ERP. software which provides the users with a centralized system for tracking financial management tasks including proposal generation, contract management, accounting, contacts, business processes, etc. The product was launched in 2012 by Wealthbox, Inc. It offers different modules like Proposal Development Module, Contract Management Module, Business Processes Module, Accounting Module, Contacts Module, etc.

Integration of Cisco® Webex Meetings and Wealthbox CRM

Integration of Cisco® Webex Meetings and Wealthbox CRM can be done using two integration methods:

  • Webex Meeting via the Webex Connector for Outlook® Add-in
  • Webex Meeting via the Webex Connector for Outlook® Add-in with the Wealthbox VITA (Virtual Interaction Terminal Agent. Add-in installed for Microsoft® Outlook® 2013.

The fplowing section describes the steps required to integrate Cisco® Webex Meetings and Wealthbox CRM using both integration methods. The first method uses the Webex Connector for Outlook® Add-in; whereas, the second method uses the Webex Connector for Outlook® Add-in with the Wealthbox VITA Add-in installed for Microsoft® Outlook® 2013.

  • Webex Meeting via the Webex Connector for Outlook® Add-in

Step 1. Install the Webex Connector for Outlook® Add-in from the Microsoft® Office Marketplace. Locate the download under Actions -> Get More Apps -> Get Add-ins from Office Store -> Search by App Name. Select Cisco® Webex Meetings from the search results and then click Install to install the add-in. Once installed, you can use it to access your Calendar and Tasks from Microsoft® Outlook®, as well as join a meeting from within your calendar view. Additionally you can launch a new meeting from within your calendar view as well as invite others via email or AIM/Yahoo! IM. After installing the add-in, you will be prompted to set up a user name and password on the Webex site at https://webex.com/e/setupuserewuser/. This must be done before joining a meeting from within your calendar view. You can then open Microsoft® Outlook®, browse to your personal calendar file and click on the more options button on the right hand side of your screen as shown in the figure below:

You will now be able to click on ‘Invite Attendees’ to create an instant meeting with your recipients. Once you have entered all your attendees into the ‘To’ field of this dialog box, click ‘Schedule Meeting’ and you will be taken to a page where you can edit meeting details such as time and date, as well as invite other attendees not already added to this meeting. After you have completed all the details click ‘Save & Close’ and you will be taken back to your calendar view and you will see an entry for this new meeting in your calendar as shown in the figure below:

Step 2. Create a new list in Microsoft® Outlook® as shown in Figure 3 below:

Title . Enter name of your ‘event’ Category . Enter name of your ‘event’ Description . Enter name of your ‘event’ Start Time . Enter start time of your ‘event’ End Time . Enter end time of your ‘event’ Location . Enter location of your ‘event’ Recurrence Pattern . Select ‘Daily’ Recurrence Day . Select day of week for recurrence Schedule . Select pattern of occurrence Time Zone . Select Time zone for recurrence Meeting Type . Select pattern of occurrence Meeting Objectives . Enter objectives of your ‘event’ Meeting Summary . Enter summary of your ‘event’ Meeting Agenda . Enter agenda of your ‘event’ Meeting Notes . Enter notes of your ‘event’ Attendee List . Create Attendee List as per requirement as shown in Figure 4 below. Status . Select status as Incoming Response Options . Select response options as Incoming Response Attachments Option . Select attachment as Incoming Response Send Notification to Attendees as soon as attendee responds to event. Check this box if you want to send notification to attendees immediately after they respond to this event… Send Notice Before Event Starts. Check this box if you want to send notice before this event starts… Show Event On My Calendar. Check this box if you want to show this event on your calendar… Show Event On Attendees Calendars. Check this box if you want to show this event on attendees calendars… Note. Do not check these boxes unless you intend to use these features… Click OK button… You will be prompted with “Are you sure that you want to save changes to this item” message; click OK button… Now we need to associate our list we created with our newly created event; right-click on our new event and select properties; select Custom tab; select Item tab; select List. WebEx Meeting (that we created); click on OK button; you will be prompted with “Are you sure that you want to save changes to this item” message; click OK button; now we need to associate our new list we created with our newly created event; right-click on our list we created and select properties; select Item tab; select Recurrence tab; select Recurrence Pattern as Daily… Repeat steps 3 to 8 for every day you wish to have recurring events… You can also create recurring events for multiple days at once by clicking on OK button… Figure 4 shows how our newly created event looks like in our calendar along with our newly created list after associating them with each other… Figure 5 shows how our newly created list looks like in our outlook after adding items to it… To view or edit items in our newly created list or meetiung go back to our calendar view; right-click on our calendar entry for ‘WebEx Meeting’ list; select properties; select Item tab; select View & Edit List Items option; enter values for all fields that are available under that tab; click OK button… To view or edit items in our newly created list or meeting go back to our calendar view; right-click on our calendar entry for ‘WebEx Meeting’ list; select properties; select Item tab; select View & Edit List Items option; enter values for all fields that are available under that tab; click OK button… To view or edit items in our newly created meeting go back to Microsoft® Outlook®, right-click on our calendar entry for meeting; select properties; select Custom tab; enter values for all fields that are available under that tab; click OK button… To view or edit items in our newly created list go back to Microsoft® Outlook®, right-click on our list we created; select properties; select Item tab; enter values for all fields that are available under that tab; click OK button… We recommend periodically checking your inbox for
