Airtable is a cloud-based spreadsheet system. It is easy to use, powerful and flexible. The display of data can be organized into cpumns, with each cpumn containing fields for data entry. This makes it easy to sort, filter or search within the data.
Gravity Forms is an application for creating forms on your website. The forms are able to gather various types of information, such as text, numbers, dates, file uploads, etc. Gravity Forms has an API that allows you to incorporate it into an application or another website easily. It is also possible to import form data into Airtable, making it extremely easy to keep track of all the data you gather.
The integration between Airtable and Gravity Forms works in both directions. This means that you are able to save form entries in Airtable, or create entries in Airtable from data gathered in Gravity Forms. This integration is done using the API provided by Gravity Forms. There are many different things you can do with this API. check out this post for examples and explanations of how to use it.
I am going to demonstrate the integration feature by writing a small PHP script that takes data from a Gravity Form and saves it to an Airtable spreadsheet. I will be using the PHP SDK for the API, but if you prefer NodeJS, Python, Java or other programming languages, take a look at the official documentation for the API.
First we need to authorize ourselves with our Airtable account. The first thing we need to do is ask the user for their Airtable login credentials:
Then we need to set up a connection between our script and the API:
Now we can start saving form entries:
The first argument should be the unique identifier of the form we want to save the data to. For example we could use $form->getFormId(. , which will return a number that represents the id of the form we’re working with. The second argument is an array of form entries as explained in the documentation. We can loop through this array and store every entry individually:
Once we have stored all the required entries, we can finish saving them by calling save(. :
Finally we should also save any errors that occurred while saving to a log file:
This is a simple example of how to integrate Gravity Forms with Airtable. You could extend this example by adding functionality to check if all required fields were entered, or automatically create a spreadsheet row if the username field isn’t entered.
