Integration of Zoho Mail and Trello

Zoho Mail?

Zoho Mail is hosted by Zoho Corporation since year 2000. It offers “features such as cloud storage, email filtering, virtual address, and private domain amongst others.” (Zoho)


Trello is a web service that organizes personal and professional projects. It is free and easy to use. It was launched in year 2011 by Fog Creek Software. Trello allows users to organize projects of all shapes and sizes into lists and boards. It makes cplaboration easier by allowing other users to add comments on cards, and upload attachments. (Trello)

Integration of Zoho Mail and Trello

Zoho Mail can be integrated with Trello through the URL scheme method. This integration allows users to interact directly between Zoho Mail and Trello with a single click.

  • Setup a Trello board with the fplowing cpumns. “Todo”, “Done”, “In Progress”, and “Archived”.
  • Click on the Trello menu button which is located at the top right corner of the application. Select “Preferences…” from the drop-down menu. A new window will open up, select “Integrations…” from the left side panel of the window.
  • Click on the “Add Integration” button at the bottom of the panel to open up a new window. From this window, select the “URL scheme” option. Insert the fplowing URL in the text box. mailto://zm/?subject=[Subject]&body=[Body]. The [Subject] and [Body] sections are optional. These sections are used if you want to set a subject line or body content for your email.
  • Click on the “Enable Integration” button to complete the setup process.
  • Try sending an email to add an item in Trello from Zoho Mail. You can add an attachment by clicking on the paperclip icon which is located in the top right corner of the email editor. You can also set a subject or body content for your email by using the [Subject] or [Body] section respectively. If you do not enter anything in these sections, it will be set to its default values which are blank strings.
  • When you receive a new email message with a subject line and body content, click on the link which is created by Zoho Mail (mailto://. It will open up a new tab or a new window for Trello which contains the information needed for creating a card in Trello. Click on the “Create Card” button to create a new card in Trello based on this data.
  • The card has been created in Trello! The task can now be tracked by assigning them labels that appear in Zoho Mail and Trello simultaneously. For example, you can assign the label “In Progress” to indicate that the task is in progress. You can also add due dates to indicate when they should be completed by using this integration between Zoho Mail and Trello. When you return to Trello, you should see these labels automatically assigned to each task as shown in the screenshot below:

  • You can also add due dates in Zoho Mail by typing them directly in the subject for your email message. To do so, type due. [Due Date] in your subject line where [Due Date] is your desired due date as shown in Figure 2 below:

  • To archive tasks in Trello, use Zoho Mail’s archive command as shown in Figure 3 below:

  • To delete tasks from Trello, use Zoho Mail’s delete command as shown in Figure 4 below:
