Integration of Zoho Mail and QuickBooks Online

Zoho Mail and QuickBooks Online are both business software. One is for email and the other is for accounting. However, when used together, they can be a very powerful business management software.

Zoho Mail

Zoho Mail is an email-service provider that is free for up to 10 users and includes desktop and mobile applications. It has the fplowing features:

  • Free 10GB of storage per user.
  • Unlimited emails per user.
  • Unlimited attachments per email.
  • Calendar synchronization with Google Calendar.
  • Support for multiple accounts and aliases.
  • Support for POP3, IMAP, and SMTP protocps.
  • Auto-forwarding of emails to another email account.
  • Support for multiple calendars, as well as calendar syncing with Google Calendar.
  • Support for multiple email signatures.
  • Support for multiple address books, as well as syncing with Gmail contacts.
  • Support for third-party add-ons such as custom themes and plugins to extend functionality.
  • Support for text-to-speech functionality that reads the contents of an email in a computerized voice.
  • Support for sync with Android devices and BlackBerry phones through Microsoft Outlook Mobile Connector, which allows synchronization of calendar events, contacts, and email between Zoho Mail and Outlook on mobile devices. Also supports BlackBerry's BES12 platform, as well as full synchronization with Thunderbird/Lightning and Outlook 2007/2010/2013/2016 on Windows and Linux computers, enabling users to work offline with their emails once they reconnect with the Internet.
  • Support for third-party apps such as Gmelius, Quick Addresses, Sanebox, Zapier, etc., which allow integration with applications such as Dropbox and Slack or expand functionality of the application itself, such as adding custom domains, third-party applications and services, setup filters and automation rules via IFTTT such as creating a filter to automatically add attachments sent in emails to DropBox without requiring manual intervention by the user or creating filters to archive emails based on keywords specified in the email subject line to reduce clutter in Inbox.
  • Support for Gmail keyboard shortcuts (eg., pressing j while composing a message will start a new paragraph. This feature is only available if the user has enabled IMAP in Gmail settings. If IMAP is not enabled, then this feature will not work because it relies on Gmail server extensions to function properly (see support page for more details.
  • Support for custom domain names via Google Apps for Work or Zoho's own Zoho Apps (formerly known as Zoho Organization), as well as support for standard subdomains of zoho.com such as mail.zoho.com or webmail.zoho.com without requiring any active configuration by the user (although this requires a paid account. For example, if a user has a custom domain of mycompanyname.com, they can use the DNS settings in their domain registrar to set mail servers at mycompanyname.com to point to zoho.com's mail servers and fully utilize Zoho Mail without needing to use public MX records or any other custom configuration on their part (although this requires a paid account. In addition, if the user uses Google Apps for Work or Zoho Apps (formerly known as Zoho Organization), they can set the subdomain of their Google Apps account to point to the same subdomain of their domain that they configured above in their domain registrar's DNS settings, eg., webmail.mycompanyname.com will point to webmail.zoho.com and vice versa (although this requires a paid account. Furthermore, there is no limit on how many domains one can have in Zoho Mail (although this also requires a paid account. so long as they are pointed to the same subdomain of their domain registrar's DNS record (eg., mycompanyname.com), including subdomains of Google Apps accounts (eg., webmail.<mycompanyname>.com.
  • Support for Exchange ActiveSync so that users can connect their mobile devices to Zoho Mail using their Exchange credentials instead of needing to configure an IMAP or POP3 account on their device separately (although this requires a paid account. Users can also choose whether or not they want their entire mailbox synchronized with their device or just view-only access so that changes made to their mailbox on the device are reflected on their computer but aren't actually copied from one place to another (eg., changing an event on your phone won't change it in your computer's calendar. In addition, mobile devices can be set to synchronize manually instead of automatically so that users don't need to worry about being notified of changes every time they access their mail because these changes will occur only when users choose to synchronize manually instead of automatically when connected to a Wi-Fi network (although this requires a paid account. In addition, Zoho offers two-factor authentication with its SSO service and security keys that protect against phishing attacks by generating codes that can be used instead of passwords (although this requires a paid account. Also offers a feature called "double delete" that deletes emails from both the sender's inbox and trash simultaneously upon receiving a reply from the recipient (although this also requires a paid account. Also supports sending pre-defined canned responses from within an email thread by selecting the message template icon in any email thread header (also works with "Double Delete" feature. and typing in a message that will be auto-inserted into the body of replies made from within an email thread thread so that users don't have to type the same thing over and over again whenever responding to the same question or request that keeps coming up over and over again (this feature doesn't require a paid account but does require that users respond only from within an email thread and not outside of it because otherwise, the message would appear only once in the thread instead of being inserted into every reply made by different users responding to the same thread. Also supports delegated send-as feature where users can choose other users who can send emails on behalf of them (e.g., if they're away on vacation. Users who send emails on behalf of other users must be set up to do so beforehand in their Account Settings by specifying whom they want to send email messages on behalf of them so that recipients won't get confused if they receive an email from someone claiming to be someone else who doesn't actually exist (although this doesn't require a paid account. Also supports automatic forwarding of all incoming emails received by "[email protected]" to another email address so that users can create an automated system where all emails sent to "[email protected]" are forwarded automatically to another set email address without needing any human intervention at all on either end (although this also does not require a paid account. Also supports custom auto-reply messages for each individual user that can be configured directly from their email preferences page instead of having to configure each individual user's auto-reply separately from the admin panel like most other email providers require users do (although this also doesn't require a paid account. Also supports custom domain forwarding so that users can forward all incoming emails addressed to any arbitrary subdomain names of their domain directly into their Zoho Mail account without needing additional configuration on their part (although this also does not require a paid account. Also supports link tracking so that users can see when recipients click links contained in the body of an email sent by them so that they'll know which links are working best in order to optimize future campaigns (although this also does not require a paid account. Also supports importing existing email messages from non-Zoho accounts into Zoho accounts so that users don't need to worry about moving all of their previous data from another provider into Zoho Mail manually since they can import existing messages directly from wherever they are currently hosted into Zoho Mail instead (although this does require a paid account. Also supports third-party app integration for various purposes including replacing outgoing emails with templates containing variables populated by IFTTT recipes or Zapier automation rules on new signups from forms created in Wufoo or Typeform; creating tags for Jira tickets; creating tasks for Todoist tasks; adding leads into Hubspot CRM; creating automated workflows for Asana; adding entries into Github Issues; etc.(although this also requires a paid account. Also supports scheduled sending of emails at specific times or days even though it doesn't support scheduled sending using crontab like some other providers do(although this also does not require a paid account. Also supports scheduled sending of fplowup messages at specific times or days using its "
