Zoho Expense is a web-based expense management system developed by Zoho Corporation. It enables employees to record, track and claim their business expenses through their computers or mobile devices. The platform allows users to upload receipts digitally, along with any details or comments. The application also provides an interface for users to fplow up on reimbursements with their managers.
Odoo is a free open source suite, which provides business management functionality via a Web based application. It caught the attention of the public when it was used by Barack Obama's presidential campaign in 2008, that was later nicknamed "Obama's ground-game". Odoo has been described as Salesforce.com running in the Cloud.
Zoho Expense & Odoo CRM are both cloud-based applications so integration is very easy. You can easily integrate these two applications in just few steps. Here are the steps invpved in integrating Zoho Expense with Odoo CRM.
Step 1 . First you have to connect Zoho Expense application with Odoo CRM. To do that you have to sign in to your zoho account. Then click on “Connectivity” option located at top right side corner of your screen. Once you click on it it will lead you to next page where you will see various connectors available for different applications like Salesforce, Google Apps etc. Now click on “Other” option present at bottom of the list and select “Odoo” option present under “Unsupported Integrations” section. You will be redirected to next page where you will see “Connect to Odoo” option. Click on this option and provide data like API Key, API Secret, Domain Name, Contact Person etc. Now click on “connect” button present at bottom of the page. Once you click on it it will display “Successfully connected” message on your screen. You can check this by clicking on “Settings” tab present at top of the screen and choose “Integrations” option from left side menu. Then you can see Odoo under “Connected Applications” section. Repeat the process for Odoo CRM application also.
Step 2 . Create custom fields in Zoho Expense application for integration with Odoo CRM application. To create custom fields you have to go to settings tab present at top of your screen and choose “Custom Fields” option from left side menu. Then you can create custom fields in Zoho Expense application for integration with Odoo CRM application. For example you want custom field called ClientName in Zoho Expense application then you have to create a custom field in Zoho Expense application with name “ClientName” and type as picklist and save changes. In this way you can create custom fields in Zoho Expense application for integration with Odoo CRM application. It is important to create custom fields in Zoho Expense application for integration with Odoo CRM application otherwise Odoo CRM application will not be able to fetch required information from Zoho Expense application during synchronization process which will lead to error messages in Odoo CRM application.
Step 3 . Add custom fields created in Step 2 into Odoo CRM application for synchronization between both applications. To add custom fields into Odoo CRM application for synchronization between both applications fplow these steps:
Login to Odoo CRM application and go to settings tab present at top of your screen and choose “Integrations” from left side menu. Then from right side menu choose “Zoho Expense” from “Connected Apps” section and then click on “Edit” button present under “Integration parameters” section. Choose “Custom Field Synchronization” tab and then click on “Add Field(s)…” button present at bottom of the page. Now provide data like Field Name, Field Type and Field Label and click on "Save" button present at bottom of the page. It will add all custom fields added in Step 2 into Odoo CRM application for synchronization between both applications. But if you want to add only specific custom fields then fplow these steps. Login to Odoo CRM application and go to settings tab present at top of your screen and choose “Integrations” from left side menu. Then from right side menu choose “Zoho Expense” from “Connected Apps” section and then click on “Edit” button present under “Integration parameters” section. Choose “Custom Field Synchronization” tab and then click on "Add Field(s..." button present at bottom of the page. Now add only specific custom fields added in Step 2 into Odoo CRM application for synchronization between both applications by providing data like Field Name, Field Type and Field Label and click on "Save" button present at bottom of the page. Repeat the same steps for all custom fields added in Step 2 into Zoho Expense application for integration with Odoo CRM application.
Step 4 . Now go to Settings tab present at top of your screen and choose “Integrations” from left side menu and then click on “Odoo Sync” option under “Connected Apps” section. From right side menu choose “Default Sync Schedule” option and change it according your need if it is not set as per your requirement already. Once this step is complete now you are ready to start synchronization process between both applications by fplowing these steps. Go to Settings tab present at top of your screen and choose “Integrations” option from left side menu and then choose “Odoo Sync” option under “Connected Apps” section. Then click on "Run" button present at bottom of the page to start synchronization process between both applications which will take some time depending upon number of records present in Zoho Expense application . For example if there are 50 records present in Zoho Expense application then it will take about one minute to synchronize data between both applications but if there are 10,000 records present in Zoho Expense application then it will take about 10 minutes to synchronize data between both applications once synchronization process begins there will be progress bar displayed beside “run” button which will indicate that synchronization process is underway between both applications . After completion of synchronization process between both applications sync icon will be displayed beside “run” button which indicates that synchronization process is successfully completed between both applications . Once this step is complete now you are ready to use data fetched from Zoho Expense application in Odoo CRM application for further use.
Step 5 . Now you have successfully integrated Zoho Expense with Odoo CRM application by creating custom fields in Zoho Expense application for integration with Odoo CRM application, adding custom fields created in Step 2 into Odoo CRM application for synchronization between both applications after which you have started synchronization process between both applications by fplowing these steps. Go to Settings tab present at top of your screen and choose “Integrations” option from left side menu . Then choose "Odoo Sync" option under "Connected Apps" section . Then click on "Run" button present at bottom of the page . Once synchronization process between both applications begins there will be progress bar displayed beside "run" button which indicates that synchronization process is underway between both applications . After completion of synchronization process between both applications sync icon will be displayed beside "run" button which indicates that synchronization process is successfully completed between both applications . Now you have successfully integrated Zoho Expense with Odoo CRM application so now you can use data fetched from Zoho Expense application in Odoo CRM application for further use according to your requirements .
