Integration of Xero and PDF4me

  • Xero is a cloud-based accounting software that allows small businesses to manage their accounts and payrpl using the internet. It is available in three version. Small Business, Premium and Unlimited (Sanderson, 2016.
  • PDF4me is a business software that allows users to create and fill in PDF forms with just a few clicks without the need to install any programs (Sanderson, 2016.
  • BizX, as an Xero partner, uses the Xero accounting software and the PDF4me form builder to allow users to create, send and receive online quotes for their small business clients.
  • There are many advantages of integrating Xero and PDF4me which will be discussed in the fplowing sections.

Integration of Xero and PDF4me

  • Many users of BizX are small business owners who have no prior experience in accounting software. They find it very difficult to use an accounting software such as Xero. Therefore, integrating Xero and PDF4me is important to help them save time and effort in creating, sending and receiving quotes.
  • PDF4me is a form builder that allows users to create PDF forms of various types such as quotation request form, quotation response form, invoice form, etc. The forms can be filled in by either users or clients via their own computer, tablet or smartphone (Sanderson, 2016. without printing out hard copies of forms.
  • Some of our small business clients do not have a computer or other devices to print out forms as they are typically mobile businesses with mobile phones only. Therefore, they find it difficult to send printed out hard copies of forms to their clients as required by the clients. They rely on the services of BizX to create and send the forms electronically to the clients.
  • To integrate Xero and PDF4me, BizX has created a new installation package for BizX which will enable users to click on a link to insert their bank account number into their quotation request form so that the amount payable is automatically calculated based on the tax rates set up in their Xero account. This will save them time and effort in manually entering the amounts payable into their quotation request form.
  • To enable users to receive electronic quotes from their customers via PDF4me, BizX has created a new installation package for BizX which will enable users to click on a link to insert their bank account number into their quotation response form so that the amount payable is automatically calculated based on the tax rates set up in their Xero account and then send the file via email after completing the form. This will save them time and effort in manually entering the amounts payable into their quotation response form.
  • Some of BizX’s existing users did not have an Xero account when they first started using BizX but found it convenient to use PDF4me as it enabled them to receive electronic quotes from customers who could send them via email instead of having to print out paper copies of quotes and mail them. However, some of them found it inconvenient to open up new PDF files every time they wanted to send out a quote as they would need to print out hard copies, fill in the forms manually, scan them back into their computers, attach them to emails and then send them out. They requested that we integrate PDF4me with Xero so that they could send quotes electronically to customers without needing to manually fill in the forms every time.
  • A few of our existing BizX users were already using Xero but were unable to receive electronic quotes from customers via PDF4me because they did not know how to manipulate PDF files into Excel spreadsheets which would be required for importing data from PDF files into Xero as per our requirements at that time.
  • We also needed a way for our existing users who used BizX before we partnered with Xero but now want to use our current integration package with their new Xero accounts to be able to maintain their existing data from their previous accounts so that they do not need to re-enter all their data into their new Xero accounts. As such, we have designed our new installation package for BizX so that new users can choose whether they want us to set up a new Xero account for them or whether they want us to import their data from their previous BizX accounts into their new Xero accounts. If they want us to maintain their previous BizX accounts’ data into their new Xero accounts, we will ask them for the URL of their current BizX accounts so that we can download all their form templates, bank account numbers and other important data into their new Xero accounts before deleting their previous BizX accounts and starting new ones using the same email addresses they used previously so that they do not lose contact with their previous customers and contacts if they decide not to delete their pd BizX accounts altogether (for example if they want access to any existing form templates or bank account numbers we have stored for them. This feature will be especially helpful for existing BizX users who already have existing bank account numbers in their previous accounts before we partnered with Xero as it will save them time, money and effort since we are able to automatically populate all their existing bank account numbers into their new Xero accounts before deleting their previous BizX accounts. Moreover, if there are any changes in our bank account numbers due to recent bank mergers or closures/openings of bank branches around New Zealand even after we have imported our pd bank account numbers into our new Xero accounts, we will be able to make these changes easily without affecting our pd bank account numbers stored in our previous BizX accounts because we will be able to edit any changes made in our new Xero accounts without affecting our pd bank account numbers stored in our legacy BizX accounts. This feature will also be helpful for existing BizX users who want us to import all their bank account numbers into their new Xero accounts but don’t want us delete any of their previous BizX accounts so that they can retain access to any existing form templates or other files stored in those accounts such as contracts signed between customers/partners/suppliers etc. Moreover, this feature will be especially helpful for new users who want us to create new Xero accounts for them but don’t want us delete any of their previous BizX accounts so that they can retain access to any existing form templates or other files stored in those accounts such as contracts signed between customers/partners/suppliers etc., especially if they do not have regular access to the Internet or are unable to connect to our website regularly because of poor Internet connection or because they do not have mobile phones with Internet access so that they need us to store all relevant information about them and their customers/partners/suppliers etc., including all past quotations sent out, received and saved into separate files so that they can access them whenever they need them without needing Internet connection or having access only to mobile phones with poor Internet connection (Sanderson, 2016. This is especially useful for small business owners who live outside major cities where broadband is not available or has poor Internet connection or is expensive (Sanderson, 2016.
  • Another benefit of integrating Xero and PDF4me is that it will provide added security for users against hacking attempts as well as unauthorized access by third parties through phishing methods (Sanderson, 2016. Since PDF files contain links embedded within them which direct users’ screens straight back to the originating websites when clicked on by either malicious hackers or innocent users (Sanderson, 2016), it is possible for malicious hackers or phishers with knowledge of these links embedded within PDF files which direct browsers straight back to the originating websites when clicked on by either malicious hackers or innocent users (Sanderson, 2016. try to obtain private information such as user passwords through phishing methods (Sanderson, 2016. As such, one way of preventing this from happening would be for users not to click on links within PDF files unless they know where those links are taking them directly because once links are clicked on within PDF files, browsers will go directly back to the originating websites (Sanderson, 2016. However, another way would be for users who click on links within PDF files not only click on those links but take note of what URL appears immediately after clicking on those links before closing that tab and opening another tab with another URL, preferably Google Chrome or Firefox (Sanderson, 2016. as these two browsers have built-in protections against phishing attacks by displaying URLs immediately after clicking on hyperlinks in order for users themselves to verify whether the URLs they are accessing are genuine or fake before proceeding further (Sanderson,
