Integration of Todoist and Keap

Introduction. Todoist is a task management system that keeps track of your tasks for you. It is available on many platforms, including iOS, Android, Mac, Chrome, Firefox, and Windows. Keap is an email-based todo list that keeps track of tasks in plain text emails. By integrating the two, I will be able to create a robust system for my daily tasks.

There are a variety of ways to use the service. You can use the web interface or download one of their apps if you prefer a mobile interface. You can also sync all of your devices with each other so that you can access your tasks from anywhere. The most effective way to use the service is to integrate it with another service such as Google Calendar or Evernote.

Keap

Keap is an email-based todo list that keeps track of tasks in plain text emails. By integrating the two, I will be able to create a robust system for my daily tasks. Since both services are free, I don’t have to worry about paying for two services. This way, I’ll have a backup in case something happens to one of my devices, as well as a backup of my data in case one of my devices fails. In this way, I won’t have to worry about my data being lost.

In order to integrate my Todoist account with Keap, I need an app called Zapier. Zapier allows me to integrate the two systems. It has a variety of integrations for different services and if you can’t find one that works for you, you can always create your own. After creating my Zapier account and logging into Todoist and Keap, I am able to see the integrations I am able to make between the two services (see image below. From there I can review each integration and set it up accordingly.

Integration #1. Using Keap as an inbox for Todoist

The first integration allows me to use Keap as an inbox for Todoist. When I receive an email at my Keap address ([email protected]calendar.com), Zapier will forward the email to Todoist and mark it as unread. This integration is useful because it helps me keep my inbox organized and allows me to take advantage of the scheduling feature on Todoist. I can move any emails that I receive to Todoist so that they appear on my calendar as tasks.

There are some limitations with this integration though. If I mark any emails as unread in Keap and then mark them as read again in Keap, those emails will still appear as new emails in Todoist even though they are not new emails anymore. Also, if I mark any emails as read in Todoist even if they are still marked as unread in Keap, those emails will no longer appear in Todoist after they are read again in Keap. These limitations are problematic because if there are any emails I want to keep track of in Todoist but don’t want to do anything with them, I will have to mark them as read in Keap instead of marking them as unread in Keap because otherwise they will appear as new emails in Todoist after they are read again in Keap. This may lead to confusion when trying to find tasks in Todoist since there would be tasks appearing in Todoist that aren’t really there.

Integration #2. Using Todoist as an inbox for Keap

The second integration allows me to use Todoist as an inbox for Keap. When I receive an email at my @keapcalendar.com address (my Todoist address), Zapier will forward the email to Todoist and mark it as unread. This integration is useful because it helps me keep my inbox organized and allows me to take advantage of the scheduling feature on Todoist. It works very similarly to the first integration except that it goes the other way around; emails come into my @keapcalendar.com address instead of going out of it like the first integration does. There are also some limitations with this integration though. If I mark any emails as unread in Keap and then mark them as read again in Keap, those emails will still appear as new emails in Todoist even though they are not new emails anymore. Also, if I mark any emails as read in Todoist even if they are still marked as unread in Keap, those emails will no longer appear in Todoist after they are read again in Keap. These limitations are problematic because if there are any emails I want to keep track of in Todoist but don’t want to do anything with them, I will have to mark them as read in Keap instead of marking them as unread in Keap because otherwise they will appear as new emails in Todoist after they are read again in Keap. This may lead to confusion when trying to find tasks in Todoist since there would be tasks appearing in Todoist that aren’t really there.

Integration #3. Using Mailinator for both inboxes

The third integration allows me to use Mailinator for both inboxes.
