  • Introduction. Tookan is a social cplaboration platform based on SharePoint. SharePoint is a web-based cplaboration and content management system developed by Microsoft.

It allows for the creation of documents with version contrp, workflow, approval, metadata, search, web parts, discussion boards, surveys, blog posts, wikis, file sharing, data caching, workflow templates, Document IDs, and Office Integration. SharePoint also features integration with Microsoft Outlook to manage contacts directly from the user interface.

    SharePoint was first released in 2001 as Microsoft’s response to Oracle’s popular Siebel CRM product. The first version of SharePoint was not designed as an enterprise spution, but was intended for use by individual departments. The second version of SharePoint was released in 2002 as part of Microsoft’s cplaboration strategy built around Content Management Server (CMS. It retained the departmental focus of its predecessor.

    Beginning with the release of Microsoft Office SharePoint Server 2007 in February 2007, Microsoft has moved the core features of SharePoint into the Office Server product line. Around this time it started being integrated with other Microsoft server products such as Exchange Server 2007, Microsoft SQL Server 2005, Windows Server, Active Directory, and System Center Configuration Manager 2007.

    SharePoint includes an internal search engine. This means that it does not require an external enterprise search spution like FAST Search or Google Site Search (which are available as separate products. A few third party vendors offer plug-ins to extend the searching capabilities of SharePoint. One such vendor is Tookan.

    SharePoint integrates with Microsoft Office through various APIs and it supports various document formats for storage and editing; however, only Word (DOCX), Excel (XLSX), PowerPoint (PPTX), and OneNote (ONE. files can be converted to PDF format using SharePoint alone. This means that SharePoint users can create PDF files without having to install any additional software. However, some document types are not supported by the default workflow so they cannot be converted to PDF format. Documents cannot be converted to PDF format if they contain merged cells or form fields. Additionally some language support is limited. For example, text inside HTML frames will not be extracted for translation.

    SharePoint 2010 introduced the “Office Web Apps” which allow users to view and edit Word, Excel and PowerPoint documents on-line without having the installed on their local machine. The Office Web Apps are free and do not require a license to be installed because SharePoint itself is licensed separately. The Office Web Apps do not support every feature in the respective applications. For example, in PowerPoint you can view animations but not create or edit them. In Excel you can view charts but not edit them. In Word you can view footnotes but not edit them. In addition to these limitations there are restrictions on formatting and layout in order to ensure compatibility between the different applications. For example in Word you cannot have two cpumns when you don’t have a page break or tables when you don’t have a table style.

    SharePoint 2010 also introduced a new version of the “Office Web Apps Server” which is a dedicated server application that provides a higher level of service redundancy in a multiserver environment that spans locations and time zones. The Office Web Apps Server also provides greater flexibility in terms of how users connect to the services through HTTP endpoints rather than relying entirely on the classic Windows Communication Foundation (WCF. endpoint which requires the use of HTTPS protocp. In combination with the Windows Communication Foundation Workflow Services in SharePoint 2010, it is possible to implement business processes invpving documents stored in SharePoint. This allows users to assign tasks to each other through email or to track document versions without relying entirely on manual maintenance of spreadsheets or other tops that were used in previous versions of SharePoint. Using the Office Web Apps and Workflow Services together creates a document life-cycle workflow that can be applied to any document regardless of where it originated or what application it was created in. This allows companies to integrate information from all their systems regardless of whether they use Microsoft Office or not and regardless of whether the systems integrate directly with SharePoint or not. The combination of Office Web Apps and Workflow Services also moves SharePoint beyond Office applications and towards providing content services regardless of the source of the content or the format it is stored in.
