ServiceNow is an IT service management (ITSM. software that helps the organizations to manage their IT services. It is used by the most of the organizations to manage their IT services such as user account, computer account, and etc. But, it does not allow users to store their files in it. On the other hand, Google Drive is an online document manager that lets the users to store, share and edit their files. It can be accessed from any device such as smart phone, tablet, or computer. So, if you want to use ServiceNow to manage your IT services then you have to store your files outside ServiceNow.
This article aims to show how easy it is to integrate Google Drive and ServiceNow together so that users can access their files stored in Google Drive from ServiceNow.
Google Drive is an online document manager that lets the users to store, share and edit their files. If you want to manage your IT services then you have to store your files outside ServiceNow so that users can access them through ServiceNow. Hence, this article is going to show how ServiceNow and Google Drive can be integrated together so that users can access their files stored in Google Drive (drive.google.com. from ServiceNow (it-spaces.net.
So, let’s start!
At first, you have to go to Drive conspe where you will be able to create bucket for your organization. Click on Create a Bucket.
Then select Create a new bucket and click on Next. Then enter a bucket name and description and click on Create.
Next step is to get a service account key. Sign into your Google Account and go to the Google API Conspe. Then click on Credentials page and then “Create New Key” button. Now choose Browser Key as type of key and click on “Create” button. This way you will get an authorization file with a JSON object that contain a client ID and a client secret key for your project. Copy both of them for later use (you can also download the JSON file.
Go back to the bucket settings of your organization and click on “Permissions” tab. Then click on “Add Member” button and enter the email address of a user who is going to access the bucket from ServiceNow (e.g.. [email protected]. Then click on “Send Invite” button. After that you need to verify that an invite was sent successfully. To do so just check your inbox for an email that contains a verification link. After you received this email, click on the verification link. Now you should see the email address of your user in the list. Click on the “+” icon next to it in order to add write permissions for this user. In the popup window select “Can Edit” option and then click on Save button:
Now you have created a bucket and added an appropriate permissions for one of your users who is going to access this bucket from ServiceNow. But you still have to enable Google Drive integration with ServiceNow by clicking on the “Google Drive Integration” toggle switch in the settings of your organization:
You can also disable Google Drive integration at any time by clicking on the same switch but keep in mind that Google Drive integration will be disabled for all users of your organization if you do so! So before disabling Google Drive integration make sure that there are no users who are using this feature now otherwise they won’t be able to access data stored in Google Drive anymore! After that logout from ServiceNow and then login again so that changes will take effect. Then go to Settings->Security menu and choose “Google Drive” menu item:
That’s it! You have enabled Google Drive integration with ServiceNow so now you will be able to use this feature! But before you can use Google Drive integration there are few more steps that you have to do for every user who is going to use this feature on his/her desktop:
The first thing that you have to do is to install Google Chrome browser because currently Google Drive integration requires Google Chrome browser in order to work properly (although there is no guarantee that this requirement will stay forever. So if you did not yet installed Google Chrome browser on your desktop computer then go to Google Chrome website and download it right now. https://www.google.com/chrome/browser/desktop/index.html#installation Once you installed Google Chrome browser launch it, sign into your Google account (it doesn’t matter if it was done via Google Chrome or not. and then open Chrome Web Store. https://chrome.google.com/webstore/category/apps?hl=en-US Here you can search for “ServiceNow” application or just go directly to this link. https://chrome.google.com/webstore/detail/service-now/kimajjceodncohmnjmjgdpfbbbepfap?utm_source=chrome-app-launcher-info-dialog&utm_medium=organic Then click on “Add To Chrome” button and fplow instructions shown in a popup window of Chrome Web Store:
That’s it! Now you can navigate to ServiceNow instance where you want to use Google Drive integration. https://yourinstancehere.service-now.com Then login with your credentials and go to Settings->Security menu where you should see two new menu items called “Google Authenticator” and “Google Drive”:
Click on “Google Drive” menu item in order to enable Google Drive integration with ServiceNow:
A new popup window will appear where you have to enter the client ID and client secret key that we got earlier when we created a bucket for our organization:
In addition, if you want to use a proxy server then enter its information here too (keep in mind that if your local network uses a proxy server then you should configure it accordingly):
Once you entered all required information click on “Save” button:
After clicking on “Save” button a new window will appear where user has to enter his/her password again so that ServiceNow confirms his/her identity:
After this process is completed successfully an icon will appear next to your username which will allow user to enable/disable Google Drive integration with ServiceNow at any time:
