    Integration of Microsoft Outlook and Zoho Books

Introduction

Microsoft Outlook is a web-based email service offered by Microsoft Corporation. It has been developed since 1997 and keeps growing in popularity every year. The purpose of Microsoft Outlook is to store email, contacts, tasks, and calendars. It also allows users to connect with other Microsoft services such as Office 365, OneDrive, and Skype.

Zoho Books is a web-based accounting software that can be accessed using a computer or mobile device. Zoho Books is designed for small businesses and those who are self-employed. It can be used for the fplowing purposes:

  • Creating customer invoices, estimates, and credit notes;
  • Tracking payments from customers;
  • Managing expenses;
  • Creating sales reports;
  • Preparing taxes;
  • Monitoring finances; and
  • Generating business reports.

Integration of Microsoft Outlook and Zoho Books

There are many popular ways to integrate Microsoft Outlook and Zoho Books. Here are four ways to integrate Microsoft Outlook and Zoho Books:

  • Synchronization of Contacts – Zoho Books provides an option to synchronize your contacts with Microsoft Outlook on a daily basis. Once you have selected all the contacts you wish, you can send them directly to Zoho Books by selecting “Send to Zoho” option. Your contacts will be imported into Zoho Books immediately after the synchronization process is completed. If you wish to import the contacts directly into Zoho Books without synchronizing them with Microsoft Outlook first, select “Import from CSV” option from the “File” menu in Zoho Books. This will allow you to import your contacts directly from a CSV file that contains all the necessary details about your contacts. All you need to do is upload this file using the “Upload File” option in the “File” menu. Once the file is uploaded, select the contacts you wish to import using the “Preview Contacts” option from the same menu. After you have selected all the contacts that you want to import, select “Import” to complete the process. You can add more contacts anytime by repeating the above process. You can choose to import only certain fields or all your contact details depending on your preferences and needs. You can find further details about importing contacts here. https://www.zohobooks.com/knowledge-base/how-to/import-contacts/.
  • Sending Emails – You can also use both systems together to send emails to your clients as well as create new contacts in both Microsoft Outlook and Zoho Books at once. To do that, select “Send To” option from the “File” menu in Zoho Books if you wish to send an email through Zoho Books alone or select “Send As” option in case you wish to send it through both systems. If you wish to send an email through both systems simultaneously, choose “Send As” option from the “File” menu and then click on the button that says “I want to send an email using…” Select “Microsoft Outlook” from the list of available options that appears if you wish to send an email through Microsoft Outlook alone or choose “Both” if you wish to send it through both systems simultaneously. If you choose either of these options, you will be asked to enter the recipient’s email address while adding the recipient’s name in the subject line of your email if you are sending it through both systems simultaneously or enter the recipient’s name and subject in separate fields if you are sending it through Microsoft Outlook alone. After entering these information, you can add any additional details that you wish to add before clicking on “Send Email” button to send your email through both systems simultaneously or click on “Send Email” button if you wish to send it through Microsoft Outlook alone. You can find further details about sending emails here. https://www.zohobooks.com/knowledge-base/how-to/send-an-email-through-zoho-books/.
  • Importing Contacts – You can also import contacts from MS Outlook into Zoho Books by opening a new contact record in Zoho Books from the contact list in MS Outlook by selecting “New Contact” option in MS Outlook or open a new contact record in Zoho Books by selecting “New Contact” option from contact list in MS Outlook or directly open a contact record in Zoho Books by selecting “Open Contacts” option from contact list in MS Outlook then select “Import Contacts” option in Zoho Books contact form and select “Microsoft Outlook (file)” option to import contacts directly from MS Outlook or select “Import Contacts” option and select “Import from CSV (file)” option from drop-down menu in Zoho Books contact form if you wish to import contacts from a CSV file containing data about your contacts rather than importing them directly from MS Outlook. After selecting either of these options, a CSV file containing data about your contacts will appear in MS Outlook which you can view and edit before importing them into Zoho Books or save this file onto your computer so that you can import this file into Zoho Books again later or upload this file into Zoho Books again at a later time by selecting “Upload File” option in the “File” menu of Zoho books if you have already uploaded this file earlier but have changed its location or deleted it by mistake or have lost it completely due to system failure or accidentally deleting it while transferring it between devices or any other reason.
