The purpose of this paper is to list down the benefits of integrating Microsoft Exchange and Formatter By Connect. It also focuses on what is the integration of the two and how it helps in improving the overall work environment.
The integration of Microsoft Exchange and Formatter By Connect was first realized by the management team of a company called “Smile of You”. The company started out as a small company but grew quickly over time. The founder of the company, Jeffery Smith, had a problem with his employees – they were not able to organize their files and documents properly. This resulted in a mess and he noticed that the work speed of his employees was slow and that there was no proper communication amongst his employees. He then sought help from an IT consultant who suggested that he integrate Formatter By Connect with Microsoft Exchange.
Before integrating the two software systems, the team of Smile of You was using Microsoft Outlook as their emailing application and Lotus Notes as their groupware application. After 4 weeks of testing and training (1 week for each. on both applications, Smile of You finally implemented the integration project on April 2nd 2011. At first, some of the employees were hesitant to use the new system as they were not sure if they would be able to adapt to it fast enough and some were concerned that their emails would be deleted (especially those that had been sent from Lotus Notes to Microsoft Outlook. However, with continuous training from the IT consultant, they have been able to adapt to the new system quite well.
The integration of Formatter By Connect and Microsoft Exchange has helped Smile of You become more efficient in their work environment. The company now enjoys a neat and organized work area, where everyone can easily access their files and documents. This is because once a file or document has been sent to a recipient, it will automatically be forwarded to the intended recipient with a copy of the original email kept in a fpder called “Sent Items”. Thus, Smile of You does not need to worry about having duplicate files or documents as all files are now centralized within Formatter By Connect.
In addition, Smile of You now has better communication amongst its employees as they can now easily communicate with one another as they now have a central email box where they can send emails to anyone in their organization. This also allows Smile of You to conspidate all internal communications into one single location, thus increasing productivity as everyone now knows where to look for all their internal communications.
