Integration of Gravity Forms and Zoho Mail

WordPress users can integrate Gravity Forms and Zoho Mail using the Zapier integration. Zapier allows users to automate tasks between two or more web applications. With Zapier, you can integrate Gravity Forms and Zoho Mail in just a few clicks. Here’s how you can do it:

Step 1. Connect Gravity Forms and Zoho Mail

The first step is to connect Gravity Forms with Zoho Mail. Once you have done so you will be able to trigger Zoho Mail when someone submits a form on your site. To connect these accounts you will need their API keys. Here’s how you can get them:

Gravity Forms. Go to Gravity Forms > Settings > Integrations and enter your API key there. Make sure you have enabled the integration for each of your forms before proceeding further.

Zoho Mail. Log into your account on https://www.zoho.com/mail/ > Settings > Integrations and click ‘Add’ on the new window that opens up. In the new window enter your API key from Zoho Mail and click ‘Save Changes’.

Now that you have both the APIs saved into your Zapier account you’re ready to connect them. Fplow the steps below:

Go to https://zapier.com/zapbook/zapsew/ and click ‘Start a New Zap’ Choose ‘Zoho Mail’ from the first drop-down menu and select ‘New Message Sent From Zoho’ from the second drop-down menu. Then click ‘Continue’ Choose ‘Gravity Forms’ from the next drop-down menu and select ‘New Entry Created In A Form’ from the drop-down menu after that. Then click ’Continue’ Give your Zap a name and then click the ‘Create Zap!’ button Select which fields in your Gravity Form will trigger the Zoho Mail and which fields in Zoho Mail will trigger your Gravity Form (You can choose whether you want all fields in Gravity Form or only certain fields. Then click ‘Continue’ Now you need to decide what actions you would like each of your apps to take when a new entry is created in the other app (you can choose from a list of pre-defined actions. For example. You might want Zoho Mail to send an email notification when a form is submitted on your website; or you might want Gravity Forms to send a customer an email notification when they subscribe via your website; or you might want Gravity Forms to save new entries in a spreadsheet when a customer subscribes via your website; or you might want Gravity Forms to send an email notification when a form is submitted on your website; or you might want Gravity Forms to save new entries in a spreadsheet when a customer subscribes via your website; or you might want Gravity Forms to send an email notification when a form is submitted on your website; or you might want Gravity Forms to save new entries in a spreadsheet when a customer subscribes via your website; etc… Then click ‘Continue’ If you would like to test out your Zap click ‘Test This Zap’ If everything is working properly click ‘Save & Finish’ Click ‘Save Changes’ at the bottom of the page And that’s it! Now whenever someone submits a form on your website the data entered will be saved in your Zoho Mail account! And whenever someone sends an email through your Zoho Mail account new entries will be created in your Gravity Form! You can now customize the triggers as per your requirement!

Step 2. Customize Your Triggers

Now that you have connected Gravity Forms and Zoho Mail using Zapier it’s time to customize your triggers! You can customize these triggers based on the type of forms you are creating. Here are some examples:

Example 1. Send an Email Notification When A Customer Subscribes Via Your Website (Use Case)

Let’s say that you want Zoho Mail to send an email notification when someone subscribes via your website (for example if someone signs up for an account on your website. To do this fplow these steps:

Select ‘Entry Created In A Form’ as the trigger action Choose ‘New Subscription Received From A Form’ as the action action Choose ‘Send An Email Notification via My App’ as the action Select ‘Trigger Fields Only’ so that only certain fields are sent over Choose ‘Form Subscribed To A List’ as the trigger field Choose ‘Value = Yes’ as the value Choose ‘From Address = {Email Address}’ as the subject Choose ‘Recipients = {Email Address}’ as the recipient Choose ‘Message = Dear {First Name}, Welcome To Our Site! This is just an automated message sent by our system… no need to reply back! Your subscription request was successfully received! Thank you for subscribing! Kind regards {Name}’ as the message Click ‘Continue’ Click ‘Test This Zap!’ at the bottom of screen Click ‘Save Changes’ at the bottom of screen Click ‘Save & Finish’ at the bottom of screen Click ‘Save Changes’ at bottom of page Click ‘Done!’ at bottom of screen And that’s it! Now whenever someone subscribes via your website an automated email will be sent via Zoho Mail! Test out this Zap by visiting one of your forms and filling out some info! You can then visit your dashboard and check out all of your new entries that were added inline with the Zap! That way if something goes wrong you will know exactly which form triggered it! If all went well congrats! Now anytime anyone subscribes via any of your forms an automated email will be sent via Zoho Mail! You can now customize this trigger further by adding multiple fields and ensuring that only certain fields are sent over! Just repeat steps 3 – 8 again and make changes where necessary!
