October 5, 2013It has been about 6 months since I have started using Google Calendar for my daily schedule. The reason is that my previous planner, Microsoft Excel, was not powerful enough to help me track my work and leisure schedule in a systematic way. I was trying to use both Google Calendar and Basecamp 2 (a project management software. as my personal information management tops. However, I found it extremely difficult to integrate the two different systems because of the lack of strong integration between Google Calendar and Basecamp 2. Therefore, I decided to create an outline for an article arguing why I think Google Calendar and Basecamp 2 should be integrated in a more effective way.

Integration of Google Calendar and Basecamp 2

Google Calendar and Basecamp 2 are both non-profit organizations that provide free online services to the public. Their business models mainly depend on advertisements, premium services, and donations. After getting acquainted with their missions and business models, we can conclude that they both have tremendous intentions to help people. It would be fantastic if they can cplaborate to share their resources to save time and effort for users. For example, I hope that every time I start a new project or a new task in Basecamp 2, a related event will be automatically added to Google Calendar. This setting is called “Auto-Update” and has become a standard function on most of the cplaboration software nowadays. If this feature is available on Google Calendar, I do not need to copy and paste the information from Basecamp 2 to Google Calendar anymore. However, this automatic transfer of data is not always desirable because some projects might not be appropriate for publishing. In this case, there should be an option to manually add data instead of having all the project information on Google Calendar. Also, there might be some projects that do not require adding any events at all. These situations can be addressed by giving users multiple options for updating Google Calendar data.

Benefits of Integration of Google Calendar and Basecamp 2

Integrating Google Calendar and Basecamp 2 can save a great deal of time for users. For example, I spend an average of 1 minute per day copying data from Basecamp 2 to Google Calendar. It does not seem like a big deal initially, but when I calculate the total number of minutes spent every year, it sums up to 100 hours, which equals to 4 working days! By integrating these two services together, I can cut down my workload by more than 25%. There are also some other benefits that I discovered along the way. One of them is that I no longer need to worry about deleting events from either system because they are all synchronized automatically. Another benefit is that I no longer need to worry about creating duplicate events because they are all synchronized automatically. The last benefit that I noticed is that I am able to create more accurate reports because I am able to see the exact completion time for each task in my calendar.
