Integration of Filter By Connect and GoToTraining

Filter By Connect?

The Filter By Connect function in Microsoft Dynamics CRM offers a way of making data more accessible (and therefore useful. to end users. The functionality allows users to filter the data they see in Microsoft Dynamics CRM by selecting a field from the list. For example, if users are working with cases, they can select the status attribute from the filter to see only cases that are still open or closed.

  • Go To Training is a product of Mindjet, Inc., a software development company based in Seattle. It is an online web-based top that helps businesses and individuals to create and share mind maps. Mind maps can be created in both the free and paid versions of GoToTraining. It has many features such as offline access, synchronization, and sharing of mind maps. Mind maps can be shared through private web links and also through e-mail.

  • Integration of Filter By Connect and GoToTraining
  • There are two ways to integrate these two products. The first method consists of creating a new entity on the Filter By Connect view and using a new filter. The second method invpves linking the two products in Microsoft Dynamics CRM without creating an entity on the view. Both methods are explained below in detail.

    Method 1. Creating a new entity on the Filter By Connect view and using a new filter

    In this method, we will create a new entity called “GoToTraining” on the Filter By Connect view and use that as a filter on all entities that have been added to the view. There are some limitations to this approach, however. Only one filter can be added to each entity in the view at any given time. This means that if we wanted to add a filter that showed only open cases for example, we would have to remove the existing filter before pasting in our new one. Additionally, since there is no direct integration between Filter By Connect and GoToTraining, it would not be possible to synchronize filters. So, if someone changed their filter on GoToTraining, the same change would not take place on Filter By Connect. In order to address these limitations, we will be linking both products using a third-party application called Lightning App Exchange (LAT.

    LAT provides an additional benefit in that it adds a convenient link to the available filters on the sidebar of every entity on the Filter By Connect view. However, before we start using LAT, we must first install it into Microsoft Dynamics CRM. Once installed, you can learn how to add a link from GoToTraining to Filter By Connect through LAT here. http://www.lightningappexchange.com/msdynamicscrm/index.php?page=HowToUseLATtoLinkGoToTrainingandFilterByConnect.html. After completing the above steps you will be able to go back to your Filter By Connect view and click on the LAT link for GoToTraining under the Available Filters section on the sidebar menu. Select Link Existing Entity and then select the entity that you want to link from GoToTraining, which in this case is Cases. A window will automatically pop-up showing you how many cases are currently linked to GoToTraining and asking you if you want to unlink all cases or just one case. Select Unlink All Cases and click OK. Once all cases are unlinked from GoToTraining, close all windows and go back to your Filter By Connect view. You will now see a small GoToTraining icon next to every entity listed on your view including the newly created “GoToTraining” entity. Hover your mouse over any of the entities listed in your Filter By Connect view and an additional menu will appear on top of your current menu including an option for “Add Linked Entity To List” as shown below:

    *Note. If you hover your mouse over any of the sub-entities that are listed within each entity, you will also see this additional menu for “Add Linked Entity To List” as shown below:

    Also make sure that you click on “Add Linked Entity To List” and choose “GoToTraining” for every entity listed on your Filter By Connect view as shown below:

    Now that we have successfully linked GoToTraining to every entity listed on our Filter By Connect view, we can start adding our filters via GoToTraining by clicking on “Add New Filter” from within each entity listed on our Filter By Connect view as shown below:

    Once you have clicked on “Add New Item” for a specific entity, you will be taken directly into GoToTraining where you can add your new filters as shown below:

    You will notice that there are two tabs at the top of the page. Main Mindmap and Map Views. Click on Map Views first because when you return to Microsoft Dynamics CRM, your map views will automatically appear at the top of your mind map instead of below them as shown below:

    After clicking on Map Views, you will be taken directly into GoToTraining where you will be faced with three options for adding your new filter. Individual Map View, View Group, and View Template as shown below:

    Select View Template because when you return to Microsoft Dynamics CRM, this will allow you to maintain consistency throughout your views by ensuring that filters added through GoToTraining are displayed in exactly the same way for each view that is available in your filter definition for your selected entity type as shown below:

    Next, you will be presented with an option to select which Mindmap Template you want for your map views as shown below:

    Select SingleMapViewMindmap as shown below:

    *Note. I chose SingleMapViewMindmap because when I return to Microsoft Dynamics CRM, this will allow me to display my map view in its entirety without having any gaps or breaks in it as shown below:

    *Note. If you were creating another map view that needed to show several different types of filters (such as open/closed cases. but didn’t want those filters displayed together in the same map view, then I would recommend choosing SplitMapViewMindmap instead so that each individual filter could be displayed separately through its own map view (which would allow users to switch back and forth between them. as shown below:

    After selecting SingleMapViewMindmap from within GoToTraining, you will be taken directly into your mind map where the first step in creating your filter invpves naming this view as shown below:

    I decided to name my filter “Open Cases” as shown below:

    Once named, I moved onto Step 2 by clicking on “New Mind Map View…” as shown below:
