Integration of Daylite and Zoho Creator

Introduction. This article is about the integration of Daylite and Zoho Creator.

Body. The first section of this article describes Zoho Creator and how it can be used to create business documents such as business card, letter head and envelopes.

The second section describes Daylite and how it can be used to store data such as contacts, customers, vendors, employees and tasks.

The last section is the conclusion where I will summarize the main points of this article.

  • Integration of Daylite and Zoho Creator. Integration of Daylite and Zoho Creator is a big advantage for small business owners because they can use Daylite’s data management capabilities and Zoho Creator’s document creation capabilities together to create business documents such as business cards, letter head and envelopes. For example, a business owner has an employee working for him named John Smith. John Smith is the only employee in the company. John Smith is hired on 10/30/2009 and he works from 8AM to 5PM Monday through Friday. He is paid $15 per hour. The business owner wants to communicate with his employees using letter head. Also, he wants to have his contact information displayed on the letter head too. Therefore, he needs to create letter head for his company. The steps to create letter head are shown in Figure 1 below.

    Step 1. Go to www.zoho.com/creator/letterhead.php. The Letterhead screen opens up as shown in Figure 2 below. Type in the company name in the Company field. The default company name is Zoho Corporation. The company name can be changed by simply typing over the text Zoho Corporation. The company name should be descriptive about the company or product that the company manufactures or sells. For example, if the company manufactures products for animals then the company name should be something like Pet Products Incorporated or Pet Products Corporation. If the company manufactures products for humans then the company name should be something like Health & Beauty Products Incorporated or Health & Beauty Products Corporation. If the company services computers or networks then it should be named Computer Services Incorporated or Computer Services Corporation etc. It is good to use keywords in the company name so that when people search for information on the Internet they will find your website easily. For example, if your website is www.petproductsincorporated.com then you should type pet products in the Company field when creating letter head.

    Step 2. Type in the Contact Name in the Contact Name field. This is the person in charge of the company or in charge of customer relations for this company. For example, in Figure 2 above, John Smith is in charge of customer relations for Pet Products Incorporated so he has been typed in the Contact Name field in figure 2 above. Another option is to leave this blank so that it can be filled in later using Microsoft Word or Adobe Acrobat or other word processing software; however, it is easier to fill out this information beforehand using Zoho Creator since it has all of this information stored in its own database (Daylite. For example, if you type in John Smith in the Contact Name field here then it will automatically pull up his address information (if you have stored it in Daylite), phone number etc which you can fill out at once instead of having to search for it later. If you want to print envelopes with return addresses then you should also fill out the Address Line 1, Address Line 2, City, State, ZIP Code fields using information from your Daylite database. In addition, you should use USPS Zip+4 format so that the post office knows what area your company’s headquarters is located in. For example, if your mailing address is PO Box 2345 Deptford NJ 08096 then you should enter PO Box 2345 Deptford NJ 08096 in your address fields shown below in Figure 2 above. If you don’t live in a PO box then just type your street address instead of PO Box 2345 Deptford NJ 08096 in your address fields shown below in Figure 2 above. In addition, you should make sure that your city name matches your state name exactly (For example, if your state name is New Jersey then your city name must be Deptford not Woodbridge. In addition, you should make sure that your zip code matches your state zip code exactly since zip codes are designed to match up with a specific state’s postal code system (For example, a zip code of 08096 matches up with New Jersey zip codes but a zip code of 07013 does not. If you do not know how to find out what zip code matches what state then go here. https://www.usps.com/zip4/. You can also add a line break after each line by clicking on the add line break button shown next to the address fields in Figure 2 above so that each line occupies its own line on your letter head instead of having all lines stack up on one line which is hard to read when printing envelopes and might cause some problems with automatic sorting machines that sort mail into different categories based on numeric information in addresses such as zip codes and telephone numbers which might cause troubles when sorting mail into category bins at different locations throughout the United States and possibly other countries too.

    Step 3. Type in the Contact Phone Number and Contact Email Address (If available. into the appropriate fields shown below in Figure 2 above. You can also add a line break after each line by clicking on the add line break button shown next to the contact fields shown below in Figure 2 above so that each line occupies its own line on your letter head instead of having all lines stack up on one line which is hard to read when printing envelopes and might cause some problems with automatic sorting machines that sort mail into different categories based on numeric information in addresses such as zip codes and telephone numbers which might cause troubles when sorting mail into category bins at different locations throughout the United States and possibly other countries too (If you don’t live in a PO box then just type your street address instead of PO Box 2345 Deptford NJ 08096 etc.

    Step 4. Type in the Company Logo (Optional. If you do not have a company logo yet then click on “No Logo” which will open up a page that prompts you to upload an image file (JPG, GIF or PNG. that will act as your company logo (If you do not have any image editing software installed on your computer then go here. http://www-3.ibm.com/pc/support/site.wss/document.dositestyle=nlt&lndocid=MIGR-679781. Then drag and drop the JPG image file to this page so that it will upload it to Zoho Creator server space for future reference if needed (If you drag and drop multiple images at once then it will upload all images at once. You can also drag and drop multiple images one at a time onto this page so that it will upload each JPG image one at a time separately (If you drag and drop multiple images one at a time onto this page then just click on “No Logo” again after uploading each separate JPG image file until you have uploaded all separate JPG images one at a time. It is important to note here that Zoho Creator will only let you upload JPG image files (.jpg extension. or GIF image files (.gif extension. or PNG image files (.png extension. using this method unless there are other extensions mixed with these three extensions because only images with these three file extensions are supported by Zoho Creator at this time (If you try to upload an image file with another extension then Zoho Creator will generate an error message saying that “This file format isn't supported”. Therefore, if you have other image formats besides these three image formats (.jpg, .gif or .png. then please convert them into one of these three image formats (.jpg, .gif or .png. before uploading them using this method so that they will work properly with Zoho Creator’s back end system (If you do not have any image editing software installed on your computer then go here. http://www-3.ibm.com/pc/support/site.wss/document.dositestyle=nlt&lndocid=MIGR-679781. After uploading your JPEG, GIF or PNG file then click “Import Image” as show below in Figure 3 below:
