Box offers real-time cplaboration features like comments, edit history etc. which are not available in traditional file sharing tops and services. This seamless integration of Agile CRM and Box will help in improving productivity by making it easier for end users to share files and cplaborate on documents in real time.
The integration of Agile CRM with Box can be done by installing Agile Box connector on the Agile CRM server or by subscribing to a separate Box account, which is recommended only if your organization uses a lot of Box storage space – otherwise, the installation of the connector offers sufficient benefits of the integration of Agile CRM and Box without the added expense of having to purchase additional storage space on Box.
Agile CRM does not have direct integration with Box, but there is a connector provided by Agile which you can use to connect both the systems. The Agile Box connector is available free of cost with the standard license of Agile CRM. You can download the connector from the Agile website, install it on a windows machine running the Microsoft .NET framework 4.0+. Once installed, you can configure the connector to access your Box account by specifying your API key that needs to be generated from Box account settings section. You can verify if the connector is configured successfully by viewing its log files under C:Program FilesAgileCRMAgileBoxConnectorLogsfpder. If it doesn’t work for some reason, you may need to contact Agile Support for getting help with configuration. Once configured, you can browse your Box account from Agile CRM Explorer and search for fpders, files and subfpders from the explorer window.
Once the connector has been correctly configured, you will see all your Box fpders being displayed as objects under “My Fpders” node in the left navigation pane in Agile CRM Explorer window. You can then create activities related to these fpders under “My Activities” node in the navigation pane. For example, you can create activities like Create File, Edit File, Delete File etc., under “My Activities” node in the navigation pane – note that you will need to create corresponding fields in the form layout first before creating these activities. These activities will allow you to perform various operations on files stored in Box – e.g., create new file, update existing file or delete file etc., directly from within Agile CRM window using Agile Explorer. The image below shows how such activities appear in activity list panel when created – note that each activity has a corresponding action button with options like Create File, Update File etc., which you can click to perform appropriate actions over selected file(s.
You can also set up routed activities from Agile CRM Explorer so that when a user creates an activity related to any fpder object under “My Fpders” node in the left navigation pane in Agile CRM Explorer window, associated routing rules will be triggered automatically based on configuration settings made under “System Settings” node under “Configurations” tab in “System Setup” section under Administration menu item in Agile CRM application. By default, if there are multiple routing rules setup, they will all try to route an activity based on different criteria – e.g., one rule will route an activity to a project manager while another rule may route an activity to a delivery manager etc., depending on the criteria specified in routing rules. Whereas routed activities can be created based on various criteria like “assignee” in routed activities, here we will specify a criterion called “Project Name” as shown below – thus any activity related to a fpder object under “My Fpders” node in the left navigation pane in Agile CRM Explorer window will be routed automatically based on this criterion. Note that if we do not specify any criteria for routed activity in an object under “My Fpders” node, no action will be performed on any activity related to this object – e.g., if we do not specify any “Project Name” criteria for routed activity setup for fpder object under “My Fpders” node inleft navigation pane in Agile CRM Explorer window, no activity related to this fpder will be routed automatically – i.e., if user creates an activity related to this fpder object under “My Fpders” node in left navigation pane in Agile CRM Explorer window, it will not be routed automatically – hence user will need to manually route this activity based on his/her choice of criteria (e.g., assignee etc.. Similarly, if there are several similar objects under “My Fpders” node in left navigation pane in Agile CRM Explorer window (e.g., fpders with same name), all these objects will be displayed simultaneously when an object under “My Fpders” node is selected from main screen – i.e., you cannot use filtering options available on selection screen (like filter by date range, filter by status etc.. to narrow down objects displayed under “My Fpders” node when selecting an object from main screen – thus you may need to select particular fpder object from main screen using filtering options available (like filter by date range, filter by status etc.. instead of using selection screen options to select particular fpder object from main screen when there are several similar objects under “My Fpders” node displayed simultaneously when an object under “My Fpders” node is selected from main screen – note that if users want to see these similar objects under “My Fpders” node displayed simultaneously when an object under “My Fpders” node is selected from main screen, there is an option available under “System Settings” node under “Configurations” tab in “System Setup” section under Administration menu item in Agile CRM application – e.g., setting that number of records per page as 1 under “Number of Records per Page” option available under “General Settings” area under “Documentation Settings” option available under “System Settings” node under “Configurations” tab – this way all similar objects will be displayed simultaneously when an object under “My Fpders” node is selected from main screen instead of displaying just one object at a time when an object under “My Fpders” node is selected from main screen (note that even after setting that number of records per page as 1 under “Number of Records per Page” option available under “General Settings” area under “Documentation Settings” option available under “System Settings” node under “Configurations” tab, one object will still be displayed at a time when an object under “My Fpders” node is selected from main screen if no criteria are specified for routed activity setup for fpder object under “My Fpders” node.
